What they need

Role Overview

The Special Projects Coordinator is a pivotal, multi-functional, and collaborative role to support business operations for Raising Spirits, a campus bar operation. This person will work directly with ownership and leaders to manage strategic projects, drive connectivity across different areas of the business, and support the behind the scenes operations of three campus bars in two separate markets.

This role is a unique opportunity to work in a fast paced environment, where no two days will be the same - ideal for a high‑achieving, high energy professional who is analytical, coachable, and eager to learn about different aspects of running a small business.

Key Responsibilities

  • Project Coordination — Lead and support special projects across the business, including operational improvements, guest experience initiatives, vendor transitions, and new service rollouts.

  • Analytical Evaluation — Gather data, compare options, evaluate tradeoffs, and prepare clear recommendations to support leadership decision‑making.

  • Operational Support — Assist with process development, workflow optimization, and problem solving across operations.

  • Administrative Excellence — Manage scheduling, documentation, meeting prep, follow‑ups, and general administrative duties with accuracy and professionalism.

  • On‑the‑Ground Execution — Support leadership with errands, vendor coordination, supply runs, event setup, and other hands‑on tasks essential to bar operations.

  • Cross‑Functional Collaboration — Work closely with managers and staff across stores to gather information, follow up on priorities, and provide support where needed

  • Guest Experience Support — Assist with initiatives that elevate service quality, guest satisfaction, and brand consistency.

  • Continuous Improvement — Identify opportunities to enhance efficiency, communication, and overall operational performance.

  • Innovative thinking - Participate in strategy sessions and provide input on opportunities to enhance services, improve marketing, and leverage AI to streamline business operations

Who You Are

  • A strong analytical thinker who can evaluate options, interpret data, and make informed recommendations. For example, you’ve built a spreadsheet comparing three vendors and are able to make a recommendation that might differ from a decision maker’s first choice.

  • A high achiever who thrives in a fast‑paced environment and takes pride in delivering excellent work.

  • A doer—you anticipate needs, take initiative, and follow through.

  • Highly organized, with exceptional attention to detail and the ability to manage multiple priorities.

  • Coachable, eager to learn, and excited to grow into a more senior operational or strategic role.

  • Comfortable with both strategic problem‑solving and hands‑on execution, including administrative tasks and errands.

  • Professional, reliable, and able to maintain confidentiality.

  • Energized by hospitality—guest experience, service quality, and operational excellence.

Qualifications

  • 1–4 years of experience in marketing, project coordination, business administration, personal assistant, or a similar role.

  • Strong analytical skills with the ability to evaluate options and present clear recommendations.

  • Track record of taking initiative, delivering quality work, and problem solving

  • Excellent written and verbal communication skills.

  • Proficiency with productivity tools (Google Workspace, Microsoft Office, project management software).

  • Demonstrated ability to manage competing priorities in a dynamic, fast-paced environment.

  • A college degree from a four year institution preferred
