- Explain deductibles, copays, coinsurance, authorization requirements, and visit limits in plain written language (via emails)
- Submit and follow up on prior authorizations and insurance denials
- Assist with VA-related referrals and administrative processes as needed
Records & Coordination
- Manage requests for medical records, referrals, and other documentation
- Communicate with insurance companies, physician offices, and other providers
- Coordinate administrative needs with the practice's speech-language pathologists

- Comfort speaking by phone with clients, insurance representatives, and healthcare offices
- LGBTQ+ affirming, and comfortable working with transgender and gender-diverse clients, including consistently using clients' correct names, pronouns, and terminology
- Exceptional attention to detail, including careful proofreading and individualizing of every communication
- Ability to manage multiple tasks and follow-ups without losing track of deadlines
- Comfortable working independently and asking questions instead of making assumptions
- Comfortable using practice-approved AI tools to help draft and refine communications
- Comfortable using, or able to quickly learn, SimplePractice, Airtable, Gmail, and Clockify (or similar time tracking software)
- Reliable internet, your own computer, phone, and a private workspace suitable for confidential healthcare information
Preferred Qualifications
- Experience in a therapy, rehabilitation, speech-language pathology, behavioral health, or other outpatient practice
- Experience with prior authorizations and insurance denials
- Familiarity with SimplePractice
- Experience with VA referrals or authorizations

Candidate Skills Assessment
Candidates who advance will complete a brief, unpaid skills assessment, which takes about 10–15 minutes, before a final hiring decision. You'll read a hypothetical insurance benefits report, have our contracted rates, and draft a cost-estimate email to prospective clients. You're welcome to use ChatGPT or Claude during the exercise, since using AI well is part of the role. The assessment looks at accuracy, plain-language explanation, professionalism, attention to detail, and efficiency.
