What they need

Overview

NSW Athletics is the state governing body for athletics in New South Wales, bringing community participation, school sport, competition and performance pathways together within a single, connected athletics system. NSW Athletics gives more than 50,000 registered members and participants access to the sport through more than 220 affiliated clubs. Every decision is guided by what is in the best interests of athletes, coaches, parents and the clubs and volunteers who support them.

Membership, participation and representative opportunities are all growing strongly, and NSW Athletics is committed to building clear and connected pathways. Those pathways take athletes from their first experience at a local club through to state, national and international performance, so that every athlete, whatever their ability, has the opportunity to reach their potential regardless of where they live.

Our operating model brings together four Functional Areas (Corporate Services, Community, Sport Delivery and Performance & Pathways) alongside NSW Schools Athletics. They work collaboratively to deliver a consistent, high-quality athletics experience across the state.

Sport Delivery is responsible for planning and delivering NSW Athletics’ competitions and events program, giving athletes of all ages and abilities opportunities to participate and progress. The team coordinates the competition calendar, event operations, technical requirements, officials, equipment and logistics, working closely with clubs, venues and event partners. It also works across the other Functional Areas and NSW Schools Athletics to ensure events are safe, well organised and provide a positive experience for athletes, coaches, officials, volunteers and families.

The Role

Reporting to the Sport Manager - Operations, the Sport Coordinator - Operations supports the end‑to‑end delivery of NSW Athletics competitions and events. The role contributes to event planning, operational logistics, workforce coordination, equipment management, and on‑the‑day delivery support.

The position works closely with other Sport Delivery staff and across all Functional Areas to ensure events meet operational, risk, integrity, and customer service standards. The role is hands‑on, delivery‑focused, and requires flexibility to support peak event periods.

Responsibilities

As the Sport Coordinator - Operations, you will be responsible for the following key functions:

1. Event Operations & Planning Support

  • Assist in the development and execution of event management plans, risk assessments, operational schedules, and run sheets.
  • Support the planning and delivery of NSW Athletics competitions and events, including venue liaison, contractor coordination, infrastructure and overlay, equipment transport, catering, security, and spectator services.
  • Provide on‑the‑day operational support at events as rostered.

2. Equipment, Logistics & Contractors

  • Lead the management, preparation, and allocation of NSW Athletics sport equipment and consumables.
  • Lead logistics planning for equipment transport, storage, and set‑up.
  • Order medals and coordinate their allocation across all events.
  • Take responsibility for event-day signage, including coordinating signage requirements, overseeing venue set-up, and ensuring signage is appropriately packed down and returned following events.
  • Coordinate NSW Athletics event medical requirements and liaise with medical contractors to ensure first aid, medical and physiotherapy services are available at competitions.
  • Manage workforce catering orders and spectator food and beverage options for all events.
  • Coordinate the booking of all staff and workforce-related accommodation, when required.

3. Customer Service Support

  • Provide a high standard of customer service to athletes, coaches, officials, clubs, parents, and stakeholders.
  • Respond to event‑related enquiries in a timely and professional manner, in accordance with the NSW Athletics Customer Service Standard Operating Procedure.

4. Compliance, Integrity & Continuous Improvement

  • Support the implementation of NSW Athletics policies, procedures, and operational standards.
  • Assist with post‑event debriefs and continuous improvement initiatives.
  • Ensure events are delivered in line with risk management, child safeguarding, and integrity requirements.

5. Team Collaboration & General Support

  • Work collaboratively with Sport Delivery colleagues and assist other Functional Areas during peak periods.
  • Provide general administrative support to the Sport Delivery Functional Area, as required.
  • Undertake other duties as directed, consistent with the role.

Key Selection Criteria

Essential

  • Strong organisational skills and attention to detail.
  • Ability to work independently and as part of a team in a dynamic environment.
  • Well‑developed communication and interpersonal skills.
  • Strong customer service focus with the ability to engage a wide range of stakeholders.
  • Sound IT skills, including Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Willingness to work flexible hours, including evenings, weekends and multi-day events, and to travel within NSW as required.
  • Current Australian driver's licence.

Desirable

  • Qualifications in sport management, event management, or a related field.
  • Experience supporting the delivery of sporting events.
  • Knowledge of athletics competition environments or a strong interest in the sport.
  • First Aid and CPR qualifications.
