The ideal candidate should possess strong coordination and documentation skills, a sound understanding of compliance frameworks, and the ability to streamline processes across departments.

Key Responsibilities

1. Policy Development & Governance

  • Draft, review, update, and implement organisational policies, SOPs, guidelines, and process documents in line with organisational requirements and applicable regulations.
  • Support the development of policies related to procurement, vendor management, financial controls, travel and expenses, administration, employee governance, and operational compliance.
  • Ensure policies are effectively communicated, implemented, and periodically reviewed across departments.
  • Maintain a centralised repository of policies, compliance documents, agreements, and other governance records.
  • Identify gaps in existing policies and recommend improvements to strengthen internal controls and operational efficiency.

2. Statutory & Organisational Compliance

  • Track applicable statutory, regulatory, contractual, and internal compliance requirements for CSRBOX and its associated entities, in coordination with the relevant teams and external advisors.
  • Maintain compliance calendars, renewal trackers, registers, and documentation to ensure timely submissions and renewals.
  • Coordinate with internal stakeholders, consultants, auditors, and legal professionals for compliance-related requirements.
  • Support internal and external audits by ensuring the availability, accuracy, and timely submission of relevant documents.
  • Monitor compliance with internal policies, delegated approval processes, and organisational procedures.
  • Flag potential compliance gaps and support corrective and preventive action plans.

3. Accounts & Finance Coordination

  • Work closely with the accounts and finance team to facilitate documentation, approvals, reconciliations, and routine financial processes.
  • Coordinate the collection and verification of invoices, bills, purchase orders, quotations, payment requests, and supporting documents.
  • Ensure adherence to financial documentation requirements and internal approval workflows before processing transactions.
  • Support vendor payment tracking, expense documentation, and follow-ups for pending financial records.
  • Assist in maintaining audit-ready financial documentation and resolving documentation gaps in coordination with the accounts team.
  • Facilitate coordination between project teams, accounts, administration, and other stakeholders for smooth financial operations.

4. Vendor Management & Coordination

  • Coordinate vendor onboarding, documentation, verification, agreement management, and record maintenance.
  • Ensure vendors submit the required KYC, tax, banking, statutory, and contractual documents, as applicable.
  • Maintain a centralised vendor database, agreement tracker, renewal calendar, and payment follow-up records.
  • Coordinate quotations, comparative statements, purchase requests, work orders, and vendor approvals in accordance with organisational policies.
  • Liaise with vendors regarding documentation, service delivery, invoices, pending payments, and compliance requirements.
  • Support periodic vendor performance reviews and recommend improvements in vendor engagement and management processes.

5. Internal Process Management & Risk Control

  • Review existing workflows and identify opportunities to improve process efficiency, transparency, and accountability.
  • Develop checklists, trackers, dashboards, and standard templates to monitor compliance and operational deliverables.
  • Coordinate with HR, Accounts, Administration, Procurement, and Program teams to ensure consistent implementation of internal processes.
  • Support the implementation of internal controls, documentation standards, and approval mechanisms.
  • Maintain records of deviations, pending actions, and compliance issues, ensuring timely follow-up and closure.
  • Assist in developing process manuals and conducting internal awareness sessions on policies and compliance requirements.

6. Reporting & Stakeholder Coordination

  • Prepare periodic compliance status reports, policy implementation updates, vendor status reports, and documentation trackers for management review.
  • Follow up with relevant stakeholders to ensure timely closure of pending compliance and operational activities.
  • Maintain confidentiality and ensure the secure handling of financial, contractual, vendor, and organisational information.
  • Undertake additional compliance and operational responsibilities as assigned by the reporting manager.

Required Qualifications & Experience

  • Bachelor's degree in Commerce, Business Administration, Finance, Law, or a related discipline.
  • A postgraduate qualification in Management, Finance, Law, or Compliance will be an added advantage.
  • 1-3 years of relevant experience in compliance, policy management, finance coordination, procurement, vendor management, or operations.
  • Candidates with experience in NGOs, CSR organisations, consulting firms, social sector organisations, or multi-location organisations will be preferred.
  • Working knowledge of statutory compliance, financial documentation, internal controls, and vendor management processes.
  • Familiarity with applicable Indian regulatory requirements and audit documentation practices.
  • Proficiency in MS Excel, Google Sheets, documentation tools, and process-tracking systems.

Key Competencies

  • Strong policy drafting, documentation, and analytical skills.

  • Strong problem-solving and risk-identification skills.
