Job Description – Dispatch Executive

1. Job Details

• Designation: Dispatch Executive
• Department: Dispatch / Logistics
• Reporting To: Stores Manager / Dispatch Manager / Production Manager
• Location: Factory / Warehouse
• Experience: 1–3 years in dispatch, logistics, or stores operations preferred

2. Job Purpose

To ensure the timely, accurate, and safe dispatch of finished products, furniture, fixtures, materials, and other items to project sites or customers, with proper documentation and coordination between departments.

3. Key ResponsibilitiesA. Dispatch Planning and Execution

• Plan and coordinate daily dispatch activities as per project schedules and delivery deadlines.
• Ensure finished furniture, wooden fixtures, metal fixtures, and other materials are dispatched on time.
• Verify items against approved dispatch lists, delivery challans, and project requirements.
• Ensure materials are properly packed, labelled, and protected before loading.
• Coordinate vehicle arrangements for factory-to-site deliveries.
• Monitor loading and unloading activities to prevent damage or material loss.

B. Documentation and Record Keeping

• Prepare and maintain delivery challans, dispatch notes, packing lists, and other required documents.
• Verify item descriptions, quantities, project names, and delivery addresses before dispatch.
• Maintain daily dispatch registers and update dispatch details in Excel or the company's ERP system.
• Coordinate with the Accounts Department for invoices and e-way bills, wherever applicable.
• Maintain records of dispatched materials, vehicle details, and proof of delivery.

C. Coordination with Internal Departments

• Coordinate with Production, Stores, Purchase, Projects, and Accounts teams.
• Confirm the readiness and quality clearance of finished products before dispatch.
• Inform the Project Team about dispatch schedules and expected delivery times.
• Follow up with site engineers regarding material receipt and delivery confirmation.
• Immediately report dispatch delays, shortages, damaged items, or discrepancies to the reporting manager.

D. Vehicle and Transport Management

• Coordinate with transporters and drivers for timely vehicle placement.
• Ensure the correct vehicle is arranged based on the size, quantity, and nature of materials.
• Maintain vehicle movement and transportation records.
• Follow up on delivery status and resolve routine transportation issues.
• Ensure proper stacking, loading, and securing of materials during transportation.

E. Safety and Quality

• Ensure furniture, laminates, glass, hardware, and other materials are packed and handled carefully.
• Follow company safety procedures during loading and unloading.
• Ensure no material is dispatched without proper authorisation and documentation.
• Report damaged, missing, or incorrect materials before dispatch.

4. Required Skills and Qualifications

• Minimum PUC / Diploma / Graduate qualification preferred.
• 1–3 years of experience in dispatch, logistics, warehouse, or stores operations.
• Basic knowledge of delivery challans, invoices, packing lists, and e-way bills.
• Good knowledge of MS Excel and dispatch record maintenance.
• Good coordination and communication skills.
• Ability to plan multiple deliveries and meet deadlines.

Pay: ₹30,000.00 - ₹45,000.00 per month
