Key Responsibilities1. Purchasing & Administrative Support

• Purchase Orders (POs): Prepare, issue, and track purchase orders based on approved requisitions from various hotel departments (F&B, Housekeeping, Maintenance). [1]
• Quotation Collection: Assist in gathering price quotes, comparing supplier pricing, and updating internal vendor databases.
• Invoice Processing: Match supplier delivery notes and invoices against purchase orders (3-way matching) and flag discrepancies in price or quantity.
• Vendor Follow-ups: Communicate with suppliers to track delayed shipments, request missing documentation, or coordinate urgent reorders.

2. Goods Receiving & Inspection

• Quality & Spec Checks: Inspect incoming merchandise against standard hotel purchase specifications.
• Perishable Handling: Immediately alert relevant department heads (such as Executive Chefs for meat, seafood, or produce) upon the arrival of high-priority food items. [1]
• Documentation: Record all incoming and outgoing goods accurately using the hotel's Materials Management System (MMS) or ERP software (such as SAP or specialized inventory platforms).
