Studio Coordinator

Job Summary

The ShopWell Studio Coordinator is responsible for the day-to-day coordination and operation of the ShopWell Studio, ensuring that production, staff, inventory, customer service, and wholesale relationships are organized and running smoothly.

This position plays a key role in helping ShopWell grow by overseeing the details that keep the Studio functioning efficiently while creating a positive, professional experience for customers, wholesale partners, and staff. The Studio Coordinator will supervise all Studio staff and serve as the primary point of contact for Studio-related customer and wholesale needs.

The ideal candidate is highly organized, detail-oriented, proactive, relational, and able to manage multiple priorities while working in alignment with ShopWell’s mission of creating employment opportunities and empowering survivors of human trafficking.

Key Responsibilities

Staff Supervision & Studio Operations

• Supervise and coordinate all ShopWell Studio staff, including scheduling, daily assignments, training, and workflow.
• Provide ongoing support, encouragement, and accountability to Studio employees.
• Ensure staff understand their responsibilities, production goals, quality expectations, and deadlines.
• Coordinate daily Studio activities and adjust workflow as needed based on production needs and business priorities.
• Monitor staff productivity and help identify areas where additional training or support is needed.
• Maintain a positive, professional, and mission-centered work environment.
• Assist with hiring, onboarding, and training new Studio employees as needed.
• Communicate staffing needs, concerns, accomplishments, and operational updates to the ShopWell Director.
• Ensure Studio policies, procedures, and safety expectations are followed consistently.

Product & Inventory Management

• Ensure all ShopWell products are accurately added to online sales platforms.
• Create and maintain accurate product listings, including product names, descriptions, pricing, photos, variations, and inventory quantities.
• Keep inventory quantities updated across online platforms.
• Regularly reconcile physical Studio inventory with online inventory to prevent inaccurate stock levels.
• Monitor inventory levels and communicate when products need to be produced or restocked.
• Maintain organized product records and inventory systems.
• Coordinate with Studio staff to ensure completed products are properly labeled, counted, stored, and ready for sale.
• Help identify best-selling and slow-moving products and make recommendations regarding production and inventory.
• Maintain an organized Studio inventory system that allows products and supplies to be easily located and tracked. Customer Service
• Respond to all ShopWell customer emails, messages, and requests in a timely and professional manner.
• Serve as the primary point of contact for Studio-related customer questions.
• Resolve customer concerns with professionalism, kindness, and good judgment.
• Follow up on customer issues until they are fully resolved.
• Identify recurring customer questions or concerns and communicate trends to the ShopWell Director.
• Maintain a high level of customer service that reflects ShopWell’s mission and values.

Wholesale Customer Relationships

• Serve as a primary point of contact for ShopWell wholesale customers.
• Communicate with wholesale customers throughout the ordering and fulfillment process as needed.
• Follow up with every wholesale customer after their order has been received to ensure satisfaction.
• Check in regarding product quality, order accuracy, shipping, and overall customer experience.
• Address concerns or issues promptly and communicate significant concerns to the ShopWell Director.
• Maintain strong, ongoing relationships with wholesale partners.
• Keep accurate records of wholesale customers, communications, and follow-up.
• Identify opportunities for repeat orders, new products, and continued partnerships.
• Assist with developing and maintaining wholesale accounts and growing ShopWell’s wholesale business.

Product Development & Business Growth

• Help identify opportunities for new products based on customer feedback, sales trends, wholesale requests, and market demand.
• Assist with developing new product ideas and determining production feasibility.
• Monitor product trends and provide regular feedback to the ShopWell Director.
• Help identify products that should be promoted, discontinued, expanded, or restocked.
• Assist with product photography, descriptions, packaging, and promotional materials as needed.
• Help prepare products and inventory for markets, special events, pop-ups, and other sales opportunities.

Communication & Administration

• Maintain organized Studio records and documentation.
• Communicate regularly with the ShopWell Director regarding Studio operations, staffing, inventory, customer service, and wholesale activity.
• Participate in staff meetings and leadership meetings as requested.
• Help create and maintain Studio procedures and systems that improve efficiency.
• Ensure important deadlines and follow-ups are tracked and completed.
• Maintain confidentiality regarding employee, customer, donor, and organizational information.
• Assist with other administrative tasks related to Studio operations as needed.

Additional Responsibilities

• Assist with special events and Studio activities.
• Prepare for vendor markets and pop-up events.
• Coordinate product displays and merchandising.
• Assist with photography and social media content for Studio products.
• Assist with grant reporting or data collection related to Studio employment and sales.
• Track Studio sales and production metrics.
• Help establish systems that allow the Studio to increase production and wholesale capacity.
• Support cross-training between Studio employees and other ShopWell staff.
• Take on additional responsibilities as assigned by the ShopWell Director.

Qualifications

• College degree preferred
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple projects and deadlines simultaneously.
• Strong attention to detail.
• Customer service experience required; retail, e-commerce, or wholesale experience preferred.
• Previous supervisory or leadership experience preferred.
• Experience with inventory management systems or e-commerce platforms preferred.
• Ability to learn new software and technology quickly.
• Strong problem-solving skills and good judgment.
• Ability to work independently while also functioning as part of a team.

A successful Studio Coordinator ensures that nothing falls through the cracks within the Studio. Studio staff know what they are supposed to be doing, production stays organized, inventory is accurate, customers receive excellent service, wholesale partners feel valued and cared for, and the Studio operates efficiently.

This person should bring structure, accountability, organization, and consistency to the Studio while helping create the systems necessary for ShopWell to grow its product line, wholesale business, and employment opportunities.
