Your responsibilities will cover everything from day-to-day studio operations and facilities through to project billing, proposals, recruitment, resourcing and compliance. It’s a role for someone who likes knowing what’s going on across a business and enjoys being the person who can bring a bit of order to a busy environment.

This would suit an experienced Studio or Practice Manager, or someone in a senior operations or business support role looking for their next step.

Key Responsibilities:

  • Manage the day-to-day running of the Perth studio and make sure everything is working as it should.
  • Provide operational and administrative support to the Studio Directors and wider team.
  • Look after facilities, suppliers, office requirements, travel and general studio administration.
  • Coordinate meetings, events, workshops and team activities.
  • Assist with proposals, tenders, fee submissions, award entries and marketing collateral.
  • Keep on top of proposal deadlines and coordinate input from project teams.
  • Support business development activities and maintain client and proposal records.
  • Assist with project billing, invoicing, forecasting, work-in-progress and other financial reporting.
  • Monitor timesheets, utilisation and resourcing across the studio.
  • Maintain contracts, variations, consultant agreements and other commercial documentation.
  • Help manage compliance, risk, WHS and quality processes.
  • Coordinate recruitment, onboarding and general people administration.
  • Support workforce planning, learning and development and other people initiatives.
  • Build strong relationships with clients, consultants, suppliers and the wider business.
  • Look for ways to improve systems and processes as the studio grows and evolves.

Skills & Experience:

  • Experience in a Studio Management, Practice Management, Operations or senior business support role
  • Ideally, experience working in architecture, design, engineering, consulting or another professional services environment.
  • Comfortable with financial administration including invoicing, billing, forecasting and reporting.
  • An understanding of how project-based businesses operate, including resourcing and utilisation.
  • Experience with proposals, tenders or submissions would be useful.
  • Highly organised and comfortable juggling multiple priorities.
  • Strong written and verbal communication skills.
  • Experience supporting recruitment, onboarding and general people processes.
  • Some understanding of contracts, commercial administration and compliance.
  • Experience using InDesign or similar software would be an advantage.
  • A good eye for detail and the ability to handle confidential information appropriately.
  • Someone practical, proactive and comfortable getting stuck into whatever needs doing.

Benefits and Culture:

  • Join a highly regarded design practice with a strong reputation in Australia and overseas.
  • A genuinely varied role with involvement across most areas of the business.
  • Flexible working arrangements.
  • Additional paid leave days for personal interests, learning or passion projects.
  • Paid volunteering leave.
  • Purchased leave options.
  • Generous paid parental leave.
  • Professional membership support.
  • Ongoing learning and development opportunities.
  • Employee wellbeing support.
  • Opportunities to work with and connect with teams across Australia and internationally.
