Studio Operations Coordinator

Halberd Softworks is hiring a Studio Operations Coordinator to join our team in Guadalajara. You'll work with studio leadership and specialists in Finance, HR, and Legal to keep daily operations organized, payments accurate, and administrative requirements on schedule. It's a broad role, and you'll have a direct hand in shaping how the studio operates.

Compensation : MXN $27,000–$32,000 net per month (after taxes).

Location : Hybrid, based in Guadalajara, Jalisco. You'll split your week between our Guadalajara office and working from home, so you should live within commuting distance of the Guadalajara metropolitan area. Our studio works on Central Mexico time (UTC-6), and the role requires some overlap with US business hours.

Responsibilities

• Reconcile vendor and contractor invoices against timesheets, contracts, and budgets; resolve discrepancies, coordinate payment approvals, and follow up with vendors.
• Confirm that supplier invoices are valid CFDIs and match purchase orders and agreed terms before they are paid.
• Track budgets and expenses, prepare regular financial summaries for studio leadership, and flag overdue payments and upcoming cash needs early.
• Maintain organized financial records and coordinate banking, tax documentation, and administrative requirements with our accountants and legal advisors.
• Support onboarding and offboarding, including employment paperwork and IMSS registrations and terminations, as well as contract renewals, timesheet follow-up, and payroll administration.
• Coordinate purchasing, software subscriptions, office services, travel, and domestic and international shipping.
• Serve as a point of contact for shared requests from the US-based team and keep information moving between both sides.
• Improve administrative processes and documentation, and resolve routine issues independently.

Qualifications

• 3+ years of experience in operations, administration, finance coordination, or accounts payable.
• Hands-on experience with invoice reconciliation, budget tracking, and payment coordination.
• Working knowledge of Mexican banking, SAT requirements, CFDI invoicing, and relevant labor and tax regulations, including IMSS obligations.
• Strong Excel or Google Sheets skills.
• Professional fluency in Spanish and English, written and spoken.
• Strong organization, attention to detail, and consistent follow-through.
• Discretion with confidential financial, payroll, and personnel information.
• Clear communicator who can explain the status of a request to finance and non-finance colleagues alike.

Nice to Have

• Experience with international operations, foreign vendors, and payments in multiple currencies (for example, MXN and USD).
• Experience with expense management and time-tracking platforms.
• Background in game development, technology, or creative production.
• Experience working with distributed or hybrid teams.
