SUPPLY CHAIN ASSISTANT

Job Summary

We are looking for a detail-oriented and organized Supply Chain Assistant who will support the day-to-day warehouse, logistics, and delivery operations. The position will serve as one of the key gatekeepers of the warehouse, working closely with the Warehouse & Logistics Supervisor to ensure that all stocks, invoices, delivery documents, and warehouse transactions are properly checked, documented, and accounted for.

The role is responsible for supporting the flow of goods from warehouse preparation to dispatch and delivery, ensuring accuracy of records, proper documentation, timely system updates, and compliance with established warehouse and logistics procedures.

Key Responsibilities

1. Warehouse Gatekeeping & Control

• Monitor stock movement in and out of the warehouse with the Warehouse & Logistics Supervisor.
• Verify proper documentation for receiving, releasing, returns, pull-outs, and damaged items.
• Ensure stocks and transactions are properly accounted for and report discrepancies.

2. Returned Invoices & Documents

• Check and validate returned or cancelled invoices and supporting documents.
• Prepare MRS for cancelled/damaged items, pull-outs, and OOS transactions.
• Maintain accurate records of returned transactions.

3. TMS & Route Planning

• Ensure accurate and complete invoice loading into the TMS.
• Assist in route and trip planning for BTDT, NP Booking, and DMCS deliveries.
• Coordinate delivery schedules with warehouse personnel and drivers.

4. Delivery & Dispatch Documentation

• Prepare Delivery Log Sheets and required documents for scheduled deliveries.
• Check and organize invoices and supporting documents before dispatch.
• Ensure complete and accurate document turnover to drivers.

5. Inventory & Transaction Monitoring

• Assist in monitoring inventory movements and reconciling system records with actual transactions.
• Support inventory counts and report stock or documentation discrepancies.

6. Reporting & Administrative Support

• Prepare and maintain warehouse, delivery, returns, and logistics reports.
• Maintain organized records and assist the Warehouse & Logistics Supervisor with daily operational requirements.

Qualifications

• Graduate of Industrial Engineering, Supply Chain Management, Logistics, Business Administration, Operations Management, or any related field.
• Fresh graduates are welcome to apply.
• Previous experience in warehouse, logistics, distribution, or supply chain operations is an advantage but not required.
• Proficient in Microsoft Excel or Google Sheets.
• Strong attention to detail and accuracy in handling data and documents.
• Highly organized, reliable, and systematic in handling multiple tasks.
• Good coordination and communication skills.
• Able to work in a fast-paced warehouse and distribution environment.
• Able to work with daily operational cut-offs and deadlines.
• Willing to work closely with warehouse personnel, drivers, logistics staff, and other departments.
• Willing to work on-site and support actual warehouse operations when necessary.
