Supply Chain Coordinator

Key Responsibilities

• Supply Chain Coordination
• Coordinate daily supply chain operations, including purchasing, order processing, inventory management, and shipment arrangements.
• Monitor the entire order fulfilment process to ensure goods are delivered on time and meet customer requirements.
• Follow up on order status, production progress, stock availability, and delivery schedules.
• Supplier and Purchasing Coordination
• Liaise with suppliers and factories in Hong Kong and Mainland China regarding purchase orders, product availability, pricing, and delivery schedules.
• Follow up on supplier order confirmations, production progress, and expected delivery dates.
• Maintain good working relationships with suppliers and assist in resolving supply-related issues.
• Inventory Management
• Monitor stock levels and maintain accurate inventory records.
• Coordinate stock replenishment and purchasing arrangements to avoid shortages or excess inventory.
• Conduct regular inventory checks and investigate discrepancies when necessary.
• Logistics and Shipment Arrangements
• Coordinate with freight forwarders, shipping companies, warehouses, and logistics service providers.
• Arrange local and international shipments, including booking, collection, transportation, and delivery.
• Track shipment progress and follow up on delays, damaged goods, or other delivery issues.
• Import and Export Documentation
• Prepare, check, and maintain shipping documents, including commercial invoices, packing lists, delivery notes, and other relevant documents.
• Assist with customs clearance documentation and ensure shipping information is accurate and complete.
• Maintain proper records of purchase orders, shipment details, and delivery documents.
• Cross-Departmental Communication
• Work closely with the Sales, Purchasing, Warehouse, Finance, and Logistics teams to ensure smooth daily operations.
• Communicate order updates, stock availability, delivery schedules, and supply chain issues to relevant departments.
• Follow up on customer requirements and coordinate solutions to operational problems.
• Problem Solving and Reporting
• Identify and follow up on supply chain issues, including delayed deliveries, stock shortages, incorrect shipments, and supplier problems.
• Assist in preparing regular reports on inventory, purchasing, order fulfilment, and shipment status.
• Maintain accurate supply chain records and recommend improvements to operational efficiency.
• Perform other supply chain and administrative duties as assigned.

Job Requirements

• Diploma or above in Supply Chain Management, Logistics, Business Administration, or a related discipline.
• 2–5 years of relevant experience in supply chain coordination, purchasing, logistics, or trading operations is preferred.
• Experience in import/export, international shipping, and supplier coordination is an advantage.
• Good command of written and spoken English and Chinese; Mandarin is an advantage.
• Proficient in Microsoft Office, especially Excel. Experience with ERP or inventory management systems is an advantage.
• Strong communication, coordination, organisational, and problem-solving skills.
• Detail-oriented, responsible, proactive, and able to work independently.
• Able to manage multiple tasks and meet deadlines in a fast-paced working environment.
