What they need
Supply Chain Coordinator
About UFI
UF International Ltd is a UK-based international wholesaler and distributor of British food and drink. From our Camberley distribution centre, we consolidate and export products to retailers and distribution partners worldwide.
We are looking for a highly organised, commercially aware Supply Chain Coordinator to ensure the correct stock arrives and is despatched in line with customer requirements.
This role would suit someone with strong attention to detail, who takes pride in their work, is keen to take on additional responsibility, and is eager to make a meaningful contribution to the company. Training will be provided. The role is ideally full-time, though part-time hours may be considered for the right candidate.
Key Responsibilities
- Own the supply plan from confirmed customer demand through to final despatch.
- Plan and place purchase orders according to demand, lead times, minimum order quantities and best-before-date requirements.
- Confirm stock availability, prices, lead times, quantities, batch details, best-before dates and delivery dates with suppliers.
- Follow up firmly and persistently to ensure suppliers meet their commitments.
- Build forward procurement schedules and anticipate seasonal demand, promotions, supply delays and potential shortages.
- Review expected requirements for the coming weeks and months to prevent last-minute problems.
- Coordinate with the warehouse regarding incoming stock, consolidation, picking, pallet planning and loading.
- Check incoming quantities, batch codes, best-before dates, damages and other discrepancies.
- Maintain accurate delivery promises and communicate changes promptly.
- Understand the full purchase cost, including unit price, freight, duty and payment terms, and how these affect margin.
- Identify cost savings by evaluating suppliers, order quantities and delivery options.
- Check and resolve supplier cost-price discrepancies.
- Monitor supplier performance, including delivery reliability, order accuracy and product quality.
- Maintain accurate purchase orders, supplier information and planning records within the company’s systems.
- Escalate significant risks or recurring issues promptly to the Head of Operations.
What We Are Looking For
Attention to Detail
You must be meticulous when handling quantities, prices, dates, product codes and documents. Treat every entry as though it may be audited. Accuracy will be tested during the recruitment process.
Ownership and Persistence
You must take responsibility for every task through to completion, personally chasing outstanding information, deliveries and paperwork. You should be comfortable working to tight deadlines and ensuring suppliers prioritise UFI’s requirements. To demonstrate that you have read the vacancy fully, include the words “Mars Bar" in your application.
Proactive Planning
You should naturally look ahead, identify risks and act before problems affect customer orders. This is not a role for someone who waits to be instructed or only reacts when an issue becomes urgent.
Communication and Organisation
You must communicate detailed information clearly and promptly between suppliers, the warehouse, logistics, sales and management. You should be methodical, resilient and capable of managing several priorities simultaneously.
Commercial and Systems Skills
You should understand the cost and margin impact of purchasing decisions and be confident using Excel, Outlook and ERP or business-management systems.
A practical IT and accuracy test will be a mandatory part of the interview process.
Experience
Previous experience in supply chain, procurement, FMCG, food distribution, export logistics or stock planning is preferred not essential. Experience with Microsoft Dynamics 365 Business Central would be advantageous.
However, strong ownership, accuracy, organisation, commercial awareness and the ability to learn quickly are more important than direct industry experience. Full training will be provided.
Reporting Line
The role reports to the Head of Operations and works closely with Sales, Customer Service, Warehouse, Logistics and Finance.
Job Types: Full-time, Part-time
