What they need
Play a pivotal role in keeping Wellington’s world working and moving.
PAE is one of New Zealand’s largest providers of facilities management services. With a proud legacy of supporting critical infrastructure – from Defence sites to civic spaces – we deliver services that keep our clients operating safely, efficiently, and sustainably.
We’re looking for a proactive and detail-focused Support Centre Administrator to join our Support Centre team in Lower Hutt. This role is at the heart of our operations, supporting the smooth delivery of maintenance services by managing workflows, coordinating service requests, and ensuring accurate, on-time communication with both suppliers and internal teams.
About the role
This is not your average admin role. You’ll be fielding requests, answering the phone, triaging work orders, dispatching jobs to the right people, and following them through from start to finish — all while keeping our systems updated and our stakeholders in the loop.
You’ll be part of a high-performing support team that plays a crucial behind-the-scenes role in keeping the wheels turning. Every day brings something different, and your ability to organise, communicate, and stay cool under pressure will make all the difference.
This is an onsite role, Monday to Friday 8.30am to 5.00pm (40 hours per week).
Appointment is conditional on satisfactory pre-employment checks, including a credit check, Ministry of Justice check, and pre-employment medical and drug test.
What you’ll be doing:
- Administering reactive maintenance workflows from receipt to close-out
- Scheduling service requests and coordinating with subcontractors and internal teams
- Communicating job updates clearly and professionally to operations and support staff
- Ensuring documentation and billing information is accurate and up to date
- Responding to incoming requests via phone, email, and online channels
- Supporting the delivery of Health & Safety and Quality system requirements
- Assisting with reporting, document control, and general support across the contract
What you’ll bring:
- 3+ years in an administration role and 1–2 years in customer service
- Strong planning, scheduling, and organisational skills
- Confidence using IT systems, especially the MS Office suite (and the ability to pick up new systems quickly)
- Excellent attention to detail and an ability to manage competing priorities
- A calm, professional approach when dealing with queries, requests, or last-minute changes
- A team-oriented attitude and a natural instinct to help things run smoothl
Why PAE?
We believe in doing what’s right, even when no one’s looking. You’ll be joining a values-led team that cares about its people, supports your growth, and recognises the contribution you make every day — even if your work is often behind the scenes. At PAE, you won’t just be processing paperwork — you’ll be making things happen.
Ready to bring your best?
