System Maintenance Specialist

The Maintenance Systems Specialist serves as the CFMS Super User for the RFMS Group, overseeing the full lifecycle of the Computerized Facilities Management System (CFMS) across all sites. The role governs CFMS configuration, standardization, data integrity, and performance monitoring at group level. This position will act as the central liaison between site users, vendors, and clients, maintaining a unified CFMS environment that enables efficient maintenance operations, reliable reporting, and SLA compliance.

Job Responsibilities:

1. CFMS System Governance

• Administers system architecture, access controls, permissions, and configuration settings for all RFMS sites.

• Designs and standardizes workflows, service categories, and reporting templates to align with group-wide maintenance protocols.

• Oversees server performance, system reliability, and availability across multiple site environments.

• Implements upgrades, version changes, and functional improvements to strengthen CFMS capability and stability.

2. CFMS Helpdesk Administration

• Directs CFMS helpdesk operations and ticket lifecycle management across all sites.

• Reviews service requests, escalation patterns, and backlog trends to maintain operational responsiveness.

• Coordinates with site teams to resolve system-related or data quality issues.

• Tracks helpdesk analytics and evaluates patterns to refine system performance and user experience.

3. Performance & SLA Monitoring

• Tracks SLA compliance and service-level trends across all RFMS contracts.

• Consolidates CFMS-generated performance data into group-level dashboards and reports.

• Conducts variance analyses and identifies recurring technical or process bottlenecks.

• Leads post-review discussions with vendors and clients on performance insights and improvement actions.

4. User Enablement & Training

• Develops and conducts structured training sessions for new and existing CFMS users.

• Produces and maintains user manuals, SOPs, and quick-reference materials for group-wide application.

• Advises site teams on workflow optimization and effective system utilization.

• Promotes uniform adoption of CFMS standards and reporting practices across all sites.

5. Data Integrity & System Compliance

• Validates the accuracy and completeness of asset registers, preventive maintenance plans, and work order data.

• Performs scheduled data audits and reconciliations to maintain reporting integrity.

• Maintains system and data security in compliance with RFMS governance protocols.

• Generates audit-ready records and performance evidence for management and client reporting.

6. Stakeholder Liaison & Standardization

• Acts as the principal CFMS liaison for all sites, vendors, and clients.

• Leads configuration and data setup activities during project mobilization or system expansion.

• Presents CFMS performance summaries and system updates in group and client meetings.

• Aligns all sites under consistent CFMS configuration, nomenclature, and reporting frameworks.

Job Requirements:

• Degree in in Facilities Management, Information Technology, Computer Science, or related field.

• Minimum 5-8 years’ relevant experience in CFMS operations, helpdesk management, or system administration.

• Experience working with CFMS / CAFM / CMMS systems preferred.

• Meticulous, dependable, analytical and systematic thinker, resilient and composed under pressure.
