Systems Co-ordinator

Carleton Cakes is an Irish owned family company specializing in the production of pre-portioned tray-bakes for our Carleton brand and are also proud to have been selected as a manufacturing partner for the UK’s leading coffee chains and other selected partners.

We are seeking a Systems Co-Ordinator to join our successful and growing business. Reporting to the Operations Manager, the successful candidate will be expected to be both technically capable and operationally engaged, combining programming and systems expertise with practical involvement in Stock, Stores and Dispatch bridging the gap between technology and the factory operation.

The role is not simply to write software, maintain systems or provide IT support. It is to understand how the business operates, identify where technology can make things better, and work with the people doing the job to develop, implement and maintain practical solutions.

Key Responsibilities

1. Dispatch & Scanning Systems

• Maintain and update the dispatch system, ensuring product, stock and dispatch information is accurate and current.
• Develop and maintain scanning solutions to improve the accuracy and efficiency of dispatch and stock movements.
• Identify and resolve system issues and support users with day-to-day system queries.

2. Stock Control & Costings

• Prepare and maintain product, ingredient and packaging costings, ensuring costing information is accurate and up to date.
• Monitor stock data across systems, improving the way information moves between systems and identify discrepancies or opportunities to improve stock accuracy.

3. SG Systems & System Integration

• Maintain the interface between SG Systems and the company's stock management systems, ensuring accurate transfer of stock information.
• Investigate and resolve interface errors, discrepancies and failed transactions, working collaboratively where required.
• Support the amalgamation and integration of existing systems to improve data flow, eliminate duplication and create more efficient processes.

4. Systems Development & Continuous Improvement

• Identify opportunities to automate or simplify existing stock, stores and dispatch processes.
• Assist with the testing, implementation and roll-out of new systems, software and process improvements.
• Document system processes and provide training and support to users when required.
• Maintain comprehensive and up-to-date documentation for all key systems, software and applications developed or maintained within the role.
• Document the underlying infrastructure, system architecture, operating procedures, access requirements, maintenance requirements and troubleshooting processes sufficiently to allow for continuity and knowledge transfer.
• Participate in continuous improvement initiatives and undertake any other reasonable duties consistent with the role.

Requirements

• Proven experience in a similar role
• Relevant IT/Computing qualification desirable
• Experience providing practical IT/hardware/software support
• Excellent problem-solving skills and a deep understanding of troubleshooting.
• Ability to manage competing priorities in a fast-paced production environment.
• Practical, hands-on approach with the ability to lead by example.
