What they need
About Gray’s
Gray’s Marketing and Comms Specialists is a passionate, full-service marketing and communications agency based in the North West, working with clients across a diverse range of industries locally, nationally and internationally.
We pride ourselves on delivering high-quality work, building strong relationships and creating meaningful results for our clients.
As an employer accredited by the Living Wage Foundation, we are committed to attracting, developing and retaining talented people. We believe in recognising potential, investing in our team and creating opportunities for individuals to grow alongside the business.
The Opportunity
We are looking for an ambitious, highly organised and proactive Team Assistant to join our busy and collaborative agency.
This is an exciting opportunity for someone who wants more than just a job. We are looking for an individual who is motivated to learn, eager to contribute and keen to build a long-term career within the marketing and communications industry.
As our Team Assistant, you will play an important role in supporting the day-to-day operations of the agency, helping colleagues stay organised and contributing to the successful delivery of client projects and activities.
You will gain hands-on experience across a variety of areas, including team administration, project coordination, marketing, communications and event support, while working alongside experienced professionals.
Importantly, we see this as a role with genuine long-term potential.
Our ambition is to recruit someone who will grow with Gray’s. We are committed to providing the guidance, experience and development opportunities that will allow the successful candidate to build their confidence, expand their capabilities and, over time, progress towards a more senior position within the agency.
We are not expecting you to arrive with all the answers or extensive experience. What matters most is your attitude, ambition, willingness to learn and determination to do great work.
Key Responsibilities
Team and Project Support
- Provide day-to-day administrative and organisational support to colleagues across the agency.
- Assist with coordinating meetings, schedules, project activities and deadlines.
- Prepare, format and update documents, presentations, client reports and project information.
- Maintain accurate records, task lists and shared resources to support the efficient running of the agency.
Marketing and Communications Support
- Assist with drafting, proofreading, preparing and scheduling content for social media, websites and other marketing channels.
- Carry out research, media monitoring and information gathering to support client campaigns and communications activities.
- Help maintain content calendars, organise marketing materials and complete routine digital updates using established processes.
Events and General Coordination
- Support the practical coordination of events, meetings and client activities, including bookings, schedules, materials and logistics.
- Liaise professionally with clients, suppliers and external contacts to coordinate agreed arrangements.
- Provide flexible support to colleagues, following up on actions, communicating progress and identifying where additional assistance may be needed.
You will receive guidance from experienced colleagues and will not initially be expected to independently manage client accounts, develop marketing strategies or lead complex campaigns.
As your skills and experience develop, there will be opportunities to take on greater responsibility in areas that align with your strengths, interests and the needs of the business.
About You
We are looking for someone with the right combination of ability, attitude and ambition.
You will be someone who:
- Is driven and ambitious: You are motivated to succeed, take pride in your achievements and want to build a rewarding career.
- Shows initiative: You are proactive, resourceful and willing to take ownership of your work rather than always waiting to be asked.
- Is exceptionally organised: You can manage competing priorities, maintain attention to detail and keep things moving.
- Communicates brilliantly: You are confident, articulate and professional, with excellent written and verbal communication skills.
- Has a strong work ethic: You are dependable, conscientious and committed to delivering work to a high standard.
- Is naturally curious: You enjoy learning, asking questions and developing new skills.
- Thrives as part of a team: You are approachable, supportive and willing to contribute wherever your skills are needed.
- Is adaptable and solutions-focused: You respond positively to challenges, changing priorities and new opportunities.
- Wants to progress: You are interested in developing your abilities, taking on greater responsibility and growing professionally over time.
We are particularly interested in people who can demonstrate potential, enthusiasm and a genuine desire to make a positive contribution.
Skills and Experience
Essential
- Excellent written and verbal communication skills, including strong spelling and grammar.
- Strong organisational and time-management abilities.
- Confidence using Microsoft Office or similar workplace software.
- Ability to manage assigned tasks, prioritise effectively and meet agreed deadlines.
- A professional and positive approach to working with colleagues, clients and external contacts.
- A genuine interest in marketing, communications and the wider creative industry.
- A willingness to learn, develop and take on new challenges.
Desirable
- Previous experience in an administrative, marketing, communications or similar support role.
- Experience using social media platforms and ideally content scheduling tools.
- Experience supporting projects, events or supplier coordination.
- A relevant qualification in marketing, communications, business or a related discipline, or equivalent practical experience.
- Access to a vehicle for occasional work-related travel.
We recognise that talented people come from different backgrounds. We are more interested in finding someone with the right foundations, motivation and potential than someone who can already do everything.
Your Development and Career Progression
We want this position to be the beginning of a longer-term career with Gray’s.
We believe that talented, motivated people should have opportunities to develop, take on new challenges and progress professionally.
As part of our team, you will have the opportunity to:
- Learn directly from experienced marketing and communications professionals.
- Develop practical skills across different aspects of agency operations and client delivery.
- Build confidence and independence through increasing responsibility as your capabilities develop.
- Explore areas of the business that align with your strengths and professional interests.
- Receive ongoing feedback, guidance and support to help you achieve your development goals.
- Work towards progression into a more senior role as your experience, performance and the opportunities within the agency evolve.
We are committed to investing in the right person and supporting their development over time.
What We Offer
- Competitive salary of £26,500 per annum (negotiable depending on experience).
- 30 days' annual leave.
- One-hour lunch breaks.
- Private healthcare following successful completion of probation.
- Workplace pension.
- Contribution towards parking costs.
- Employee wellbeing programme.
- Company events and team activities.
- Genuine opportunities for professional learning, development and career progression.
- Exposure to a diverse portfolio of clients, industries and projects.
- A supportive, ambitious and collaborative working environment.
Our office is based at 19 Clarendon Street, Derry-Londonderry, BT48 7EP.
