Tech Operations Officer (m/f/d)

InPost Pay is building its own fintech platform from the ground up. It’s a large-scale, international initiative where engineers will have the opportunity to shape the architecture, build core fintech components, and create solutions designed to operate at InPost’s scale.

We’re building a lean, highly effective engineering organization in Poland, with AI-native engineering at its core. We’re looking for strong engineers who are comfortable with agentic engineering, from experienced professionals building complex systems and engineering tooling to a new generation of engineers who have embraced AI-driven development from the start of their careers.

Job Description

We're looking for a professional who enjoys operating at the intersection of technology, operations, finance, recruitment and process automation. In this role, you'll help shape how Engineering teams manage external workforce operations, hiring processes, financial administration and data-driven decision making. AI and automation are not side projects here; they are a core part of the role.

Your impact

Contractor & Hiring Operations

• Coordinate the full contractor lifecycle, from onboarding through renewals and offboarding.
• Support hiring activities across the Engineering organization, including OPEX-funded positions.
• Monitor recruitment funnel performance, pipeline health and hiring metrics while identifying bottlenecks and improvement opportunities.
• Provide operational visibility into workforce capacity, hiring progress and contractor spend.

Financial & Contract Operations

• Manage contractor and vendor agreement processes, including documentation and approvals.
• Reconcile timesheets and ensure alignment with contractual arrangements.
• Initiate and monitor invoice payment processes.
• Maintain accurate records and operational processes within SAP and related systems.

Budget Tracking & Reporting

• Track contractor spend and Engineering headcount costs against budget plans.
• Support business cases for new hires and contractor engagements through cost and budget analysis.
• Prepare consolidated reports covering headcount, hiring activity and spend management.
• Gather and consolidate information from SAP, ATS platforms and time-tracking systems.

Automation & AI

• Identify opportunities to automate operational workflows using AI and modern digital tools.
• Build and maintain lightweight dashboards and reporting solutions.
• Continuously improve processes, reducing manual effort and increasing operational efficiency.

PMO Support

• Support Engineering initiatives through project coordination and status tracking.
• Help maintain visibility of timelines, actions and key deliverables across selected projects.

Qualifications

• 4+ years of experience in operations, HR operations, business support or finance operations.
• Experience with contract administration, vendor management and invoice processing.
• Experience working with SAP or the ability to learn quickly.
• Strong Excel and reporting skills.
• Practical experience using AI tools to improve operational processes.
• Basic SQL knowledge.
• Familiarity with ATS platforms and recruitment processes.
• Experience building simple automations, low-code solutions or AI-driven workflows.
• Bachelor's degree in Finance, Economics, Business Administration, Management or a related field.
• English proficiency at B2 level or higher.
