Technology Procurement Lead

The Technology Procurement Lead is responsible for managing the end-to-end procurement lifecycle for technology products and services, including hardware, software, SaaS subscriptions, cloud services, maintenance agreements, and professional services. This role serves as the primary liaison between Information Technology, Finance, Legal, vendors, and business stakeholders to ensure technology purchases are accurately quoted, approved, procured, fulfilled, and renewed in alignment with business requirements and budget objectives.

The Technology Procurement Lead drives operational excellence through vendor management, contract administration, procurement governance, purchasing operations, and process optimization. This individual is responsible for maintaining strong vendor relationships, managing technology renewals, supporting budget planning, and ensuring efficient, compliant procurement processes across the organization.

Technology Procurement

• Manage the end-to-end procurement process for technology products, software, SaaS subscriptions, cloud services, maintenance agreements, and professional services.
• Partner with IT, Finance, Security, Legal, and business stakeholders to evaluate requirements and facilitate technology purchasing activities.
• Coordinate vendor quotes, proposal evaluations, pricing comparisons, and purchasing approvals.
• Convert approved requests into purchase orders and ensure timely issuance and fulfillment.
• Track orders through delivery and resolution of any fulfillment issues.
• Serve as the primary point of contact for procurement-related inquiries and requests.
• Ensure procurement activities align with organizational policies, standards, and approval workflows.

Vendor & Contract Management

• Build and maintain strong relationships with technology vendors, distributors, resellers, and service providers.
• Support contract negotiations, pricing discussions, and commercial reviews.
• Manage contract repositories and ensure accurate documentation of agreements and amendments.
• Track contract expiration dates, software renewals, maintenance agreements, and subscription renewals.
• Coordinate vendor performance reviews and ensure adherence to contractual commitments and service-level agreements.
• Identify opportunities for vendor consolidation, cost reduction, and procurement efficiencies.

Software Licensing & Renewals

• Coordinate software subscription and maintenance renewals with vendors and internal stakeholders.
• Maintain visibility into licensing agreements, renewal schedules, and purchasing commitments.
• Partner with technology teams to validate renewal requirements and optimize licensing spend.
• Assist with vendor true-ups, licensing reviews, and contract compliance activities.
• Support budget forecasting related to recurring software and technology expenses.

Financial Management & Procurement Operations

• Partner with Finance to support budget planning, forecasting, invoice reconciliation, and spend tracking.
• Ensure accurate processing of purchase orders, invoices, vendor payments, and procurement documentation.
• Develop and maintain reports related to technology spending, purchasing activity, and renewal obligations.
• Monitor procurement activity against approved budgets and spending plans.
• Support leadership with financial analysis, purchasing forecasts, and cost-saving recommendations.

Governance & Continuous Improvement

• Develop and maintain procurement policies, standards, procedures, and documentation.
• Ensure procurement activities comply with organizational governance, legal, security, and financial controls.
• Identify opportunities to streamline procurement workflows and improve operational efficiency.
• Partner with stakeholders to enhance the procurement experience and reduce administrative overhead.
• Develop dashboards, metrics, and reporting to improve visibility into purchasing activity, vendor performance, and contract obligations.
• Drive continuous improvement initiatives through automation, process refinement, and system enhancements.

Required Qualifications

• Bachelor's degree in Business Administration, Supply Chain Management, Finance, Information Technology, or a related field.
• 5+ years of experience in technology procurement, vendor management, sourcing, purchasing operations, or related disciplines.
• Experience managing technology vendors, contracts, renewals, and purchasing processes.
• Strong understanding of software, hardware, SaaS, cloud, and technology purchasing models.
• Experience working with procurement systems, ERP platforms, or purchasing tools.
• Strong analytical, organizational, and financial management skills.
• Excellent communication, negotiation, and stakeholder management abilities.

• Familiarity with Microsoft, Cisco, Adobe, VMware, cloud services, and SaaS procurement.
• Experience managing technology budgets, contract administration, and vendor governance programs.
• Knowledge of procurement best practices, sourcing methodologies, and purchasing controls.
• Experience with Coupa, SAP, Oracle, ServiceNow, or similar procurement platforms.

• Certified Professional in Supply Management (CPSM)
• Certified Technology Procurement Professional (CTPP) or equivalent
• ITIL Foundation Certification
