Position Overview

Are you an organized, proactive event professional who thrives in a fast-paced, service-oriented environment? We are seeking a Temporary Events Planner & Coordinator to support a busy higher-education campus with event planning, production, logistics, and on-site execution.

In this hands-on role, you will help bring campus events to life while serving as a key point of contact for faculty, staff, administrators, vendors, and campus partners. The ideal candidate is a strong project manager, an excellent communicator, and a customer-focused professional who can manage multiple events and competing priorities while ensuring a seamless event experience.

Key Responsibilities

• Event Planning & Execution: Support the planning, coordination, production, and execution of campus events from start to finish.
• Event Logistics: Coordinate event setups, schedules, materials, equipment, and other logistical requirements.
• Vendor & Venue Coordination: Work with vendors and campus teams to ensure venues and event resources are ready and organized.
• On-Site Event Management: Assist with event staffing, troubleshoot issues, and ensure smooth operations during events.
• Project Management: Manage multiple event assignments simultaneously while meeting deadlines and adapting to changing priorities.
• Stakeholder Relations: Serve as a primary point of contact for faculty, staff, administrators, and other internal partners, providing responsive and professional customer service.
• Cross-Functional Collaboration: Partner with campus departments and external vendors to coordinate event requirements and resolve operational challenges.
• Scheduling & Administration: Assist with event scheduling, reservations, and related administrative tasks to support efficient campus operations.

Required Qualifications

• Experience in event planning, event production, hospitality, conference services, higher-education events, or a related field.
• Strong project management, organizational, and multitasking skills.
• Excellent customer service and relationship-building abilities.
• Strong verbal and written communication skills.
• Ability to work independently and respond effectively in a fast-paced environment.
• Flexibility to work evenings and weekends as required.
• A proactive, adaptable approach with the ability to manage changing priorities.

Preferred Qualifications

• Experience administering an Event Management System (EMS) or similar event scheduling software.
• Previous experience coordinating events within a college or university environment.
• Familiarity with campus scheduling, venue reservation, and event management systems.
• Experience coordinating multiple events, vendors, and internal stakeholders simultaneously.
