Key Responsibilities
- Operational Planning & Coordination
- Prepare and execute confirmed tour bookings accurately and efficiently.
- Ensure smooth itinerary flow (logical routing, realistic travel time, comfortable pacing).
- Cross-check daily schedules to avoid timing conflicts.
- Coordinate with suppliers (hotels, restaurants, transport, attractions, guides).
- Detail Accuracy & Execution
- Book the correct dates, times, and services as per confirmed itinerary.
- Double-check restaurant reservations (correct pax count, date, time, dietary requests).
- Ensure correct room types, bedding configurations, and special requests.
- Verify transport timings (airport transfers, coach pick-up times, driver rest regulations).
- Confirm all services in writing and maintain proper documentation.
- Traveler-Centric Thinking
- Put yourself in the traveler’s shoes when reviewing itineraries:
- Is the pacing too rushed?
- Is there enough rest time?
- Are meal times realistic?
- Are there long unnecessary detours?
- Anticipate potential problems before they happen.
- Suggest improvements for smoother experience when necessary.
- Supplier & Quality Management
- Build and maintain strong relationships with suppliers.
- Monitor service quality and flag inconsistencies.
- Follow up on reconfirmations before tour departure.
- Ensure vendors deliver as promised.
- Documentation & Tour File Management
- Maintain complete and accurate tour files.
- Prepare operation checklists before departure.
- Ensure all vouchers, confirmations, and contracts are properly stored.
- Conduct final operational checks prior to tour departure.
- Problem Solving
- Handle last-minute changes calmly and efficiently.
- Provide quick and practical solutions during operational challenges.
- Escalate critical issues appropriately.
Key Competencies
- Extremely detail-oriented
- Strong organizational skills
- High sense of responsibility and ownership
- Able to multi-task without losing accuracy
- Logical thinker with strong sequencing ability
- Calm under pressure
- Strong written communication skills
- Proactive and solution-driven
What We Are Looking For
