Training Specialist

JOB PURPOSE

The training specialist ensures successful integration of new employees to the organization and that new employees are prepared to be onboarded on their role through conducting core, fundamental training, orientations, etc. The training specialist is also responsible for continuous learning & growth to prepare employees in handling greater responsibilities through conducting training, orientations, coaching, etc. The training specialist is also responsible for continuous learning & growth to prepare employees in handling greater responsibilities.

KEY RESULTS AREAS WITH SPECIFIC DUTIES AND RESPONSIBILITIES

Training needs analysis

1. Performs training needs analysis to identify gaps, training opportunities, & to improve existing training programs.
2. Arrange and/or facilitate focus group discussions when necessary.
3. Develop TNA tools and gather data through surveys, interviews, observations, and performance reports

Design and Development of Training Programs

1. Design and develop and update training programs, modules, and training materials including PowerPoint presentations, handouts, ice breaker activities, and training materials.
2. Remains updated with the latest development through continuous learning and updates training programs, ensuring that it is aligned with company standards.
3. Coordinate with other departments to align training programs with store policies and to consider the different practices in different stores.

Training Facilitation

1. Ensures that all materials and equipment are well prepared before beginning each training session.
2. Plan and coordinate training sessions, including scheduling, resource allocation, and venue reservation to ensure smooth operations with minimal disruptions.
3. Coordinate with other departments to avoid conflict and ensure that trainees are endorsed after every training.
4. Facilitates various training programs in accordance to established training maps and utilizing various training methods to ensure engagement throughout the training session.
5. Provides excellent onboarding experience to create a positive first impression of the company.
6. Provides support and assistance to help new employees get accustomed to the company.
7. Conducts refresher training on existing employees, reinforcing or updating their established knowledge.

Store Visit

1. Performs store visit activities to evaluate the effectiveness of training programs and assess its implementation in stores.
2. Observe various aspects of store operations such as cleanliness, customer service, compliance to store policies, product quality, etc. and create a report summarizing the observations.
3. Reinforces previous training through coaching during store visits.
4. Performs store assessment to certify as a training store
5. Performs CTS audit to ensure training stores consistently deliver quality, standard, and effective learning experiences.

Training Assessment

1. Design & develop methods for assessment, such as exams, to analyze the effectiveness of every training program and to ensure that all trainees are properly equipped with necessary knowledge before moving towards the next training.
2. Administers short exams once training sessions have concluded to evaluate the trainees’ learnings during the training and to measure their knowledge retention.
3. Facilitate skill / learning verification activities and assessment to provide trainees’ simulated experience of store operations and provide ratings based on their performance.
4. Maintain an accurate record of exam scores, skill verification and store immersion ratings of all trainees.
5. Continuously assess the effectiveness of assessments and revise when necessary.
6. Discuss results to trainees and identify rooms for improvement.

Records Management

1. Updates the training database based on the training conducted daily.
2. Ensures the accuracy of the data in the training database, including the trainee’s names, employee number, position, contact number, email, and test scores. This also includes details of the training such as the name of the trainer, date, and location.
3. Quarterly conducts database audits to ensure the reliability of the data.
4. Disseminate, consolidate, and safely keep certificates from external and compliance training.
5. Present year-to-date and month-to-date reports illustrating the training conducted within the time period.
6. Creation and dissemination of certificates of training, internal, certifying that a trainee has completed a specific training program.

External Training

1. Scout for potential external training needed for the org leaders and support group.
2. Scout providers for compliances training such as BOSH, COSH, First Aid, etc.
3. Coordinate with training providers and target participants regarding external training.
4. Request budget needed for the external training.

Coordination & Collaboration

1. Coordinate with other trainers and provide feedback to refine training knowledge and learn different training methods that can be implemented in future training.
2. Coordinates with other Supervisors, Area Managers, and Operations Managers to distinguish which employees are due for or invited for refresher training.
3. Coordinate with Recruitment to ensure that all new hires are able to complete all the necessary training.
4. Constantly collaborate with certified trainers for the training schedules.
5. Coordinate with department heads on the requested external training.

Administrative

1. Creation of weekly training schedule.
2. Endorse Trainers incentives.
3. Creation of training certificates
4. Perform other tasks as instructed by the immediate supervisor
