Working Hours: Monday to Thursday 08:30 to 17:30 and Friday 08:30 to 16:30

Salary: Starting at £28,129.46.00 per annum, increasing to £30,137.27 following successful completion of probation, + EOT bonus (after completion of 12-months continuous service)

About the Role

Are you organised, analytical and confident working with large amounts of data?

We are currently recruiting for a Transaction Management Coordinator to join our Transaction Management team.

This is a varied role combining financial administration, data analysis, reconciliation and query management. You will regularly work with large datasets received from funders, suppliers and customers, cross-referencing this information against our own systems and databases to identify discrepancies, missing information and outstanding actions.

We are looking for someone who is comfortable using technology to investigate problems and who is interested in finding better and more efficient ways of working.

Knowles Fleet is one of the UK's leading transport management service providers, helping hundreds of organisations across the country manage their vehicle fleets.

We are 100% employee owned, which means our employees share in the success of the business through our Employee Ownership Trust bonus scheme. We also offer a comprehensive benefits package including a car scheme, staff discounts, onsite gym, health and wellbeing benefits and free parking.

Our team of around 80 employees is based at Lodge Park Business Centre in Colchester.

What You'll Do

As a Transaction Management Administrator, you will play an important role in supporting our reconciliation, billing, invoice administration and credit control processes.

A significant part of the role involves working with large datasets from a range of different sources. You will compare information supplied by funders, suppliers and customers against records held within our own systems and databases, identifying differences and investigating the reasons behind them.

A key responsibility will be collating statements from our funders each week and reviewing the consolidated position.

You will cross-reference statement data against our internal records to identify missing invoices, credits, duplicate transactions, unmatched items and other discrepancies. You will then investigate these issues, obtain any missing documentation and ensure outstanding items are progressed through to resolution.

This will require a logical and methodical approach, as information will often need to be compared across multiple reports, spreadsheets, systems and data sources before the cause of a discrepancy can be identified.

You will be expected to recognise recurring issues and patterns within the data and highlight these to the Transaction Management Team Leader so that the underlying cause can be investigated and addressed.

You will also be encouraged to look for opportunities to improve how information is processed. This could include improving spreadsheets, developing more efficient reporting methods, reducing manual processes and using available IT tools to simplify repetitive tasks or improve the accuracy of our data.

You will work closely with colleagues across Transaction Management and other departments to help develop practical solutions that improve efficiency and reduce unnecessary administration.

You will also provide administrative support to the Credit Control team. This will include issuing customer statements of account and providing copies of invoices and supporting documentation when requested.

You will take responsibility for monitoring and managing the Credit Control inbox, independently investigating and resolving straightforward customer account and invoice queries. This may involve reviewing information across several systems before responding.

More complex, significant or unresolved matters will be escalated to the Credit Control Supervisor or Transaction Management Team Leader as appropriate.

You will maintain accurate records of actions taken and ensure outstanding queries are followed through to completion.

Essential Skills and Experience

Strong IT and data-handling skills are essential for this role.

You will regularly work with large datasets and information from multiple sources, so you should be confident reviewing, organising, filtering and comparing data to identify discrepancies and trends.

A good working knowledge of Microsoft Excel is essential. You should be comfortable using Excel to work with large volumes of information and to cross-reference data from different sources.

You do not need to be a data analyst or programmer, but you should be comfortable learning new systems and using technology to solve problems.

Experience with Power BI, Crystal Reports, Python, database reporting tools or other data analysis software would be beneficial but is not essential.

An interest in automation and process improvement would also be advantageous. We are looking for someone who will question inefficient manual processes and consider whether available systems, reports or other IT solutions could provide a more effective way of completing a task.

You should have a logical and solutions-focused approach, with the ability to investigate discrepancies, establish their cause and determine the appropriate next action.

Excellent attention to detail is essential, particularly when working with invoices, statements, transactional data and other financial records where small differences can have a significant impact.

You should be self-motivated, highly organised and comfortable taking ownership of tasks through to completion.

Strong organisational and time-management skills are required. You will be managing a combination of daily, weekly and monthly responsibilities and will need to prioritise your workload effectively to meet deadlines.

You will need strong customer service and communication skills and should be confident communicating professionally with customers, funders, suppliers and colleagues by telephone and email.

You should also be able to recognise when an issue requires escalation and communicate the relevant information clearly to the appropriate supervisor or team leader.

A good working knowledge of Microsoft Word and Outlook is also required.

Previous experience in financial administration, accounts administration, invoice processing, reconciliation, credit control or another data-focused administrative role would be beneficial.

What We're Looking For

We are looking for someone who enjoys working with data and investigating why information does not match.

We are committed to fostering an inclusive and diverse workplace where everyone is valued and respected. We welcome applications from all backgrounds and actively encourage diversity.

Pay: £28,129.46-£30,137.27 per year
