Transport Assistant Manager

Job Specifications:

1. Bachelor's Degree in Logistics, Supply Chain Management, Transportation Management, Business Administration, Industrial Engineering, or a related field.

2. Minimum of 3–5 years of experience in transportation, logistics, or fleet operations.

3. At least 2 years in a supervisory or team leadership role.

4. Experience in transport billing validation, cost control, and carrier management is preferred.

5. May require extended working hours, weekends, or holidays depending on operational requirements.

6. Validate and endorse transport billings for processing in accordance with company policies and approval limits.

7. Monitor transport provider performance and recommend corrective actions.

8. Proven experience in transport vendor sourcing, accreditation, contract management, and billing validation is highly preferred.

9. Occasional travel for vendor audits, contract negotiations, and operational reviews.

Duties and Responsibilities:

1. Assist in managing day-to-day transport operations to ensure on-time and efficient deliveries.

2. Develop and monitor delivery schedules, route plans, and vehicle assignments.

3. Review Track fleet performance, vehicle utilization, fuel consumption, and operating costs.

4. Ensure compliance with transportation laws, safety regulations, and company policies.

5. Coordinate preventive maintenance, repairs, and vehicle inspections with the fleet maintenance team.

6. Investigate delivery delays, accidents, customer complaints, and operational issues, and implement corrective actions.

7. Monitor key performance indicators (KPIs) such as on-time delivery, vehicle productivity, fleet availability, and cost efficiency.

8. Prepare operational reports and present performance updates to management.

9. Collaborate with warehouse, logistics, procurement, customer service, and sales teams to ensure smooth transportation operations.

10. Assist in budget planning, cost control, and resource allocation.

11. Ensure proper documentation, permits, and transport records are maintained accurately.

12. Validate transport service invoices against approved rates and contracts. Ensure billing accuracy before endorsement to Finance or Accounts Payable.

13. Prepare billing validation reports and monitor transport cost trends.

14. Conduct performance monitoring and coaching.

15. Prepare vendor selection, negotiations, and contract discussions to achieve competitive rates and favorable service terms. Develop and maintain a qualified pool of accredited transport vendors.

16. Lead the accreditation process of new transport vendors, ensuring compliance with company standards, legal requirements, insurance coverage, permits, and operational capabilities.

17. Source, identify, and evaluate qualified transport vendors to support current and future transportation requirements.

18. Recommend alternative transport solutions during capacity shortages or emergency situations.
