Position Summary
The Transport Coordinator is responsible for planning, coordinating, and monitoring
transportation activities to ensure the safe, timely, and cost-effective practices. The role involves
coordinating with drivers, transport vendors, internal departments and other stakeholders while
maintaining accurate records and ensuring compliance with institute policies and applicable
regulations.

Education

• Bachelor s degree or diploma in Logistics, Supply Chain Management, Transportation,
  Business Administration, or a related field.
• Additional certification in Logistics, Supply Chain, Fleet Management, or Transportation
  Management is an advantage

Required Experience

• 2-5 years of experience in transportation coordination, logistics, fleet operations, or a related role.

• Experience coordinating drivers, transport vendors, routes, schedules, and vehicle movements.

• Experience in maintaining transportation records, reports, and documentation.

• Experience handling transport-related issues, delays, breakdowns, and emergency situations.

• Experience with MS Office, transportation management systems, ERP systems is preferred.

• Willingness to work flexible hours when required, including weekends or public holidays depending on operational needs.

Responsibilities Duties

Coordinate daily transportation activities and ensure vehicles and drivers are available according to operational requirements.

• Plan and schedule vehicle movements, routes, pickups, deliveries, and transportation services.

• Coordinate with drivers, transport vendors, suppliers, customers, and internal departments.

• Monitor vehicle movements and ensure transportation schedules are followed.

• Track delays, cancellations, breakdowns, and other transport-related issues and take corrective action promptly.

• Arrange alternative transportation when vehicles or drivers are unavailable.

• Verify driver and vehicle documentation, including licenses, permits, insurance, registration, and required compliance documents.

• Maintain accurate records of vehicle movements, trips, mileage, fuel consumption, driver assignments, and transportation costs.

• Monitor vehicle maintece schedules and coordinate servicing and repairs with relevant teams or vendors.

• Ensure drivers and transport vendors follow company safety policies and procedures.

• Monitor driver performance and report safety, attendance, or service-related concerns to management.

• Coordinate transportation requirements for meetings, events, employee movements, deliveries, or other company activities as applicable.

• Review transport invoices and supporting documents and coordinate with Fice for processing and reconciliation.

• Monitor transportation costs and identify opportunities to improve efficiency and reduce expenses.

• Prepare daily, weekly, and monthly transportation reports as required. - Maintain proper documentation and filing of transportation-related records.

• Respond promptly to transportation-related queries and complaints from employees, customers, or other stakeholders.

• Ensure compliance with company policies, safety standards, and applicable transportation laws and regulations.

• Support audits and provide transportation records and reports when required.

• Perform other transportation and logistics duties assigned by management/Institute.
