Travel Concierge VA

Job Summary:
We're looking forward to hiring a Travel Concierge VA to manage the behind-the-scenes details of our clients' trips once they're booked. You'll audit reservations, keep every confirmation and date organized, and make sure travel documents are accurate and complete. Ideally, you have a sharp eye for detail and take full ownership of your work.

Key Responsibilities:

• Audit newly booked trips to confirm every component is booked correctly
• Keep confirmation numbers and trip details organized in one place
• Check that dates, flights, hotels, and transfers all line up
• Handle dining reservations and other concierge-style requests
• Build and complete client travel documents in Travefy
• Update and maintain reservation details in VacationCRM
• Review supplier confirmations and flag any discrepancies or changes
• Follow up on open items so nothing is missed before departure
• Support our advisors with behind-the-scenes reservation management

Mandatory Skills:

• Exceptional attention to detail and a habit of double-checking
• Strong sense of ownership and accountability for completed work
• Quick learner who can read instructions and carry them out accurately
• Experience with travel or reservation management, or strong administrative experience
• Willingness to learn Travefy and VacationCRM quickly
• Excellent written English
• Accountable, accurate, and independent
• Strong communication skills

Preferred Skills:

• Experience with Travefy
• Experience with VacationCRM or similar travel CRM software
• Background in a travel agency or hospitality environment
• Experience handling high-value or luxury travel bookings
• Familiarity with supplier and tour operator portals
• Ready to take on multiple trips and deadlines at once
