What they need
Treatment Coordinator — Orthodontic Specialty Practice
Be the best part of our patients’ day—and help them say YES to a healthier, more confident smile!
Are you a results-driven sales professional who loves people, thrives on achieving goals, and knows how to build trust and create value?
Our progressive orthodontic specialty practice is looking for an exceptional Treatment Coordinator to join our team. We are seeking someone with a strong sales background who is confident presenting treatment, discussing financial options, overcoming objections, following up with prospective patients, and turning opportunities into successful treatment starts.
This is an exciting career opportunity for a motivated professional who understands that great sales begin with great relationships and an exceptional patient experience.
The Opportunity
As our Treatment Coordinator, you will be a key part of the patient journey—from the first visit through treatment acceptance and ongoing follow-up.
You will:
- Coordinate all new patient examinations (NPE) and pre-treatment patients.
- Create an exceptional first impression through confirmation calls, NPE tours, Meet & Greets, and personalized patient experiences.
- Conduct patient and doctor briefings prior to examinations.
- Present orthodontic treatment with confidence, enthusiasm, and a consultative sales approach.
- Clearly communicate the value and benefits of treatment to patients and families.
- Present financial options and confidently guide patients through the investment in their treatment.
- Identify patient concerns, answer questions, overcome objections, and help patients move forward with treatment.
- Complete treatment-start paperwork and facilitate a smooth transition from consultation to treatment.
- Follow up consistently with patients who are not yet ready to start, using phone calls, emails, invitations, and our Pending System.
- Manage and grow our Observation (OBS) Program and Kids Club, ensuring every patient has a future appointment.
- Build relationships with patients, families, and referring dental professionals.
- Monitor NPE and OBS activity and proactively help keep the schedule full.
- Track follow-up activity and results according to practice protocols.
- Participate in daily team meetings, reporting, monthly/annual planning, and practice-growth initiatives.
- Partner with our Marketing Team on internal and external campaigns, events, referral programs, and community outreach.
- Help ensure every area of the practice reflects the high standard of care we provide.
The Ideal Candidate
Our ideal Treatment Coordinator is a relationship-driven sales professional who is motivated by both patient satisfaction and results.
You are:
- Sales-driven and goal-oriented
- Confident asking for the sale and helping patients make decisions
- An excellent verbal communicator and active listener
- Skilled at building rapport and establishing trust quickly
- Comfortable presenting treatment and financial options
- Experienced in overcoming objections and navigating difficult conversations
- Persistent and effective with follow-up
- Highly organized and able to manage multiple opportunities at different stages
- Self-motivated, accountable, and competitive in a healthy way
- Warm, energetic, positive, and genuinely people-oriented
- Passionate about delivering an exceptional patient experience
- Excited about building a career in orthodontics
Previous experience in consultative sales, healthcare sales, dental/orthodontic sales, luxury sales, membership sales, or another relationship-based sales environment is highly valued.
Why Join Our Team?
This is more than a front-office position. You will play a critical role in helping patients understand the value of orthodontic treatment, feel confident in their decision, and take the next step toward the smile they want.
