What they need

Tutor Manager

Kyo Standard Test Prep

Position Overview

The Tutor Manager is responsible for ensuring that every Kyo Standard student receives consistent, high-quality instruction and remains on track toward their target SAT or ACT score.

This role directly manages a team of approximately 10–15 tutors and oversees the academic progress of roughly 100 students. The Tutor Manager serves as the primary point of accountability for tutors, reviews student performance, enforces Kyo’s instructional standards, and intervenes when a student is falling behind.

The Tutor Manager is not expected to personally tutor every struggling student. Their job is to make sure tutors are doing their jobs effectively, students are following the program, and academic problems are identified and resolved quickly.

Key Responsibilities1. Manage and Support Tutors

  • Supervise a team of approximately 10–15 SAT and ACT tutors.
  • Conduct regular individual and group meetings with tutors.
  • Ensure tutors understand and consistently follow Kyo’s teaching methods.
  • Review tutor attendance, punctuality, preparation, communication, and reliability.
  • Provide tutors with coaching, feedback, training, and corrective action when necessary.
  • Identify high-performing tutors for additional students, leadership opportunities, raises, or bonuses.
  • Address performance problems promptly and recommend reassignment or termination when appropriate.
  • Help onboard and train new tutors.
  1. Monitor Student Progress
  • Review each student’s practice-test scores, homework completion, attendance, tutoring notes, and overall progress.
  • Ensure every student has an appropriate study plan based on their baseline score, target score, test date, strengths, and weaknesses.
  • Identify students who are plateauing, falling behind, missing assignments, or not attending required sessions.
  • Work with tutors to adjust homework, instructional focus, session frequency, or tutor assignment when necessary.
  • Confirm that students receive regular practice tests and that the results are reviewed and used to guide instruction.
  • Maintain a clear list of students who require immediate intervention.
  1. Maintain Instructional Quality
  • Ensure tutors consistently use Kyo’s approved SAT and ACT strategies and instructional processes.
  • Review session notes, lesson recordings, student work, or homework feedback as needed.
  • Confirm that tutors provide specific, useful, and timely feedback rather than simply marking work complete.
  • Ensure tutors teach students how to analyze mistakes and improve their process—not merely show them the correct answer.
  • Identify gaps in tutor knowledge and arrange additional training.
  • Help maintain consistency across tutors so families receive the same standard of service throughout the program.
  1. Enforce Student Accountability
  • Monitor compliance with required tutoring sessions, homework, practice tests, and communication.
  • Ensure tutors document missed sessions, late cancellations, incomplete homework, and other compliance issues.
  • Coordinate with Student Managers when students or parents are unresponsive.
  • Make sure families receive appropriate warnings before noncompliance becomes severe.
  • Document circumstances that could affect a student’s eligibility for Kyo’s satisfaction or money-back guarantee.
  • Ensure sessions are scheduled weekly and are not improperly banked or accumulated.
  1. Resolve Academic and Tutor-Related Concerns
  • Respond quickly when a family expresses concern about instruction, tutor fit, communication, or student progress.
  • Investigate concerns by reviewing notes, scores, homework, communications, and session recordings.
  • Develop a specific corrective plan with clear responsibilities and deadlines.
  • Reassign tutors when the tutor-student match is not effective.
  • Escalate serious client concerns, guarantee risks, or repeated tutor failures to senior management.
  • Follow up after an intervention to confirm that the problem has been resolved.
  1. Coordinate With the Operations Team
  • Work closely with Student Managers, operations staff, and company leadership.
  • Distinguish between academic problems, student-accountability problems, scheduling problems, and customer-service problems.
  • Provide Student Managers with clear academic updates to communicate to families.
  • Notify leadership of students at risk of withdrawing, requesting a refund, disputing a payment, or failing to reach their goals.
  • Maintain accurate records in Kyo’s CRM, student portal, spreadsheets, and communication systems.
  • Participate in weekly management meetings and provide updates on tutors and at-risk students.

Weekly Deliverables

The Tutor Manager is expected to provide a weekly report containing:

  • Students whose scores are improving as expected.
  • Students who are plateauing or declining.
  • Students missing homework, tutoring sessions, or practice tests.
  • Students approaching an official SAT or ACT administration.
  • Families who have expressed dissatisfaction or concern.
  • Tutors requiring coaching, monitoring, or corrective action.
  • Tutor reassignments that have been completed or recommended.
  • Actions taken during the week and issues requiring leadership approval.

Performance Metrics

Performance will be evaluated using the following measures:

  • Student score improvement.
  • Percentage of students completing required homework.
  • Percentage of students attending weekly tutoring sessions.
  • Percentage of students completing scheduled practice tests.
  • Quality and timeliness of tutor session notes.
  • Tutor attendance, reliability, and retention.
  • Speed at which academic problems are identified and addressed.
  • Number of unresolved parent complaints.
  • Percentage of at-risk students with documented intervention plans.
  • Consistency with Kyo’s instructional standards and guarantee requirements.

Qualifications

  • Experience teaching, tutoring, coaching, or managing educators.
  • Strong understanding of standardized testing, preferably the Digital SAT and/or ACT.
  • Ability to interpret practice-test results and identify academic weaknesses.
  • Strong leadership, organization, communication, and problem-solving skills.
  • Ability to hold tutors and students accountable while remaining professional and supportive.
  • Comfortable reviewing data, maintaining records, and working with online systems.
  • Able to manage multiple tutors and approximately 100 student cases without losing attention to detail.
  • Willing to address performance problems directly rather than allowing them to continue.
  • Available during the hours when tutors, students, and families most frequently require support.

Ideal Candidate

The ideal Tutor Manager is proactive, organized, direct, and highly accountable. This person does not wait for a parent to complain before investigating a student’s lack of progress. They regularly review the data, identify problems early, communicate clearly, and make sure the appropriate person takes action.

They care deeply about student outcomes while understanding that strong results require accountability from the tutor, the student, the family, and the company.

Authority of the Role

The Tutor Manager may:

  • Provide tutors with coaching and performance warnings.
  • Require corrections to session notes, homework feedback, and instructional plans.
  • Recommend tutor raises, bonuses, reduced assignments, or termination.
  • Recommend additional sessions or instructional support.
  • Initiate a tutor reassignment when appropriate.
  • Place students on an academic intervention plan.
  • Escalate student noncompliance and potential guarantee defaults.
  • Request assistance from Student Managers or operations staff.

Major financial decisions, refunds, guarantee determinations, and tutor terminations require final approval from company leadership.

Position Objective

The Tutor Manager succeeds when every student has:

  • A qualified and reliable tutor.
  • A clear academic plan.
  • Consistent weekly instruction.
  • Appropriate homework and practice testing.
  • Accurate progress monitoring.
  • Early intervention when progress slows.
  • A team that takes responsibility for helping the student reach their goal.
