Coordinator for Tutoring / Tuition Coordinator

1. Job Summary

The Tutoring Coordinator serves as the central operational link between students, parents, tutors, and academic management. This position is responsible for overseeing daily educational workflows, assessing student needs, matching students with highly qualified tutors, tracking academic milestones, and ensuring exceptional service quality across all tutoring programs.

2. Key Responsibilities & Operational Scope

A. Student Assessment & Matching

· Conduct thorough intake evaluations to understand student academic goals, learning preferences, and target performance targets (e.g., SAT, AP, IB, Competitive Boards).

· Select and assign compatible tutors based on subject-matter expertise, pedagogical style, and schedule availability.

· Facilitate seamless student-tutor onboarding and set baseline performance expectations.

B. Scheduling & Master Logistics

· Manage master scheduling for both 1-on-1 private tutoring and small-group instructional sessions.

· Handle session modifications, reschedules, cancellations, and makeup class allocations promptly.

· Oversee virtual platform logistics (LMS, digital whiteboards) or physical room allocations.

C. Quality Assurance & Outcome Tracking

· Monitor lesson delivery, session logs, and periodic student assessment results submitted by tutors.

· Conduct quarterly check-ins with parents and students to gauge satisfaction and resolve potential issues early.

· Implement tailored academic intervention plans or pairing re-assignments when performance metrics fall below standards.

D. Administrative & Talent Supervision

· Maintain clean and up-to-date databases regarding tutor qualifications, active assignments, and client contact records.

· Verify logged tutoring hours for billing accuracy and coordinate tutor compensation schedules.

· Gather key operational metrics, including tutor utilization rates, client retention, and subject demand trends.

4. Candidate Qualifications & Competencies

Category

Requirement Details

Education

Bachelor's or Master's degree in Education, Mathematics, Management, Communications, or related fields.

Experience

2+ years of experience in academic administration, tutoring center management, or educational coaching.

Communication

Exceptional verbal and written communication skills with strong conflict-resolution capabilities.

Technology

Proficiency in LMS platforms, CRM software, scheduling tools, and Microsoft Office / Google Workspace.
