What they need

The VAD Supervisor – Last Mile is responsible for leading and supervising on-site Value Added Delivery (VAD) teams to ensure the safe, controlled and consistent execution of specialist equipment deliveries.

The role ensures all delivery activities are performed in accordance with approved Standard Operating Procedures (SOPs), site-specific requirements, safety controls and quality standards. This includes overseeing rack handling, unloading, uncrating, movement, staging and final positioning, while maintaining control of the team and the equipment throughout the delivery process.

The Supervisor is expected to lead by example, maintain clear communication and ensure all personnel understand their responsibilities. Any unsafe conditions, procedural deviations, incidents or operational exceptions must be addressed promptly and escalated to the Logistics Manager – Last Mile.

Key Responsibilities

On-site Team Leadership

  • Lead and coordinate the on-site VAD workforce throughout each delivery.
  • Conduct pre-delivery briefings (as required) to confirm individual responsibilities, the delivery sequence, site conditions, hazards and required controls.
  • Ensure all team members understand and follow the established chain of command: VAD Supervisor Team Leader Control Tower, in accordance with the approved operating structure.
  • Maintain clear, professional communication with drivers, VADs, site personnel and the relevant operational contacts.
  • Monitor team performance, conduct and adherence to required procedures.

Safety and Risk Management

  • Ensure all delivery activities are conducted in accordance with approved SOPs, SWMS, risk assessments and site-specific safety requirements.
  • Enforce approved push paths, Red Zone requirements, exclusion zones and other designated safety controls.
  • Maintain hands-on control of the rack and continuous visual awareness of its position and movement throughout handling and positioning activities.
  • Ensure particular care is taken when approaching, entering and exiting doorways, as these are critical risk points during rack movement.
  • Stop work immediately if conditions become unsafe, the approved process cannot be followed or the team loses control of the equipment.
  • Ensure hazards, near misses, incidents, damage and procedural deviations are reported and escalated promptly.
  • Never permit personnel to improvise or deviate from approved procedures without the appropriate authorisation.

Delivery Execution and Quality Control

  • Coordinate the delivery sequence and ensure the team is ready before each stage of the operation begins.
  • Supervise unloading, uncrating, rack movement, staging and final positioning in accordance with the approved process.
  • Verify that required equipment, tools, rack handles and safety devices are available and accounted for.
  • Ensure the work area and movement paths are checked before activities commence and remain safe throughout the delivery.
  • Confirm that the delivery is completed to the required standard and that the site is left clean, orderly and free of delivery-related debris.
  • Ensure all required operational checks, delivery records, checklists and supporting documentation are completed accurately.

Training and Competency

  • Support the induction, training and competency assessment of VAD personnel.
  • Confirm personnel understand their assigned duties, equipment-handling requirements and site-specific procedures before work commences.
  • Coach team members in safe work practices, procedural compliance and professional conduct.
  • Identify competency gaps and recommend further training or assessment where required.
  • Reinforce a culture in which safety, quality and compliance take priority over speed or convenience.

Communication and Escalation

  • Report delivery progress, operational issues, resource constraints and exceptions to the Logistics Manager – Last Mile.
  • Escalate incidents, damage, delays, unsafe conditions and deviations from the approved process promptly.
  • Ensure significant issues are documented and communicated through the agreed reporting channels.
  • Follow the established chain of command and ensure instructions are clear, consistent and understood by the team.
  • Support incident investigations, corrective actions and continuous improvement initiatives as required.

Operational Support

  • Work closely with the Logistics Manager – Last Mile to support daily planning, resource allocation and delivery readiness.
  • Assist with site assessments, delivery planning and identification of potential operational risks.
  • Provide practical feedback on SOPs, equipment, staffing and delivery processes.
  • Undertake other reasonable duties within the scope of the role as required.

Essential Skills and Experience

The successful candidate will demonstrate:

  • Experience leading or supervising teams in logistics, transport, warehousing, specialist delivery, installation or a comparable operational environment.
  • A strong understanding of workplace health and safety, hazard identification and risk controls.
  • The ability to follow detailed procedures and ensure others consistently do the same.
  • Strong situational awareness and the ability to identify changing conditions and emerging risks.
  • Clear communication skills and the confidence to provide direction, correct unsafe behaviour and escalate concerns.
  • The ability to coordinate multiple people and activities while maintaining control of the operation.
  • Good attention to detail, including accurate completion of checklists and operational documentation.
  • A practical, hands-on approach to leadership and problem-solving.
  • The ability to remain calm and make sound decisions under pressure.

Experience with sensitive, high-value, heavy or precision equipment is advantageous. Experience in data centre logistics, server rack handling or white-glove delivery operations is highly regarded but is not essential where the candidate demonstrates the right transferable skills and aptitude.

All required site access, security clearances, inductions, training and role-specific competencies must be completed before the candidate undertakes duties requiring them.
