What they need

Job Overview

The Venue Partnership Coordinator is a sales and administration-focused role that works directly with the VP of Venue Partnerships to vet and qualify prospective venue opportunities and support the onboarding of new venue partners — keeping the onboarding period as short as possible and preparing each venue for a fast, smooth handoff to the aVenue sales and planning teams.

The ideal candidate is highly organized, an excellent communicator, and comfortable managing multiple priorities in a fast-paced environment. They are resourceful, proactive, collaborative, and able to pivot as needs change. Event industry experience, confidence using AI and other technology tools, and familiarity with Tripleseat or a similar CRM are strongly preferred.

Primary Responsibilities

Venue Lead Vetting and Qualification

  • Acknowledge and log incoming venue partnership leads in Tripleseat, confirming to the venue that their inquiry has been received and is under review (this role is not the venue's ongoing point of contact)
  • Review venue lead scorecards and determine the appropriate next step: schedule an introductory call with the VP of Venue Partnerships, refer the venue to consulting services, add it to the recommended venue list, or decline the opportunity
  • Communicate qualified opportunities and relevant background information to the VP of Venue Partnerships

Venue Onboarding Support

  • Work directly with the VP of Venue Partnerships to coordinate a short, well-organized onboarding process, gathering and organizing venue collateral, menus, pricing, policies, floor plans, and other operational details and flagging any gaps that may affect sales, planning, or event execution
  • Train the sales and planning teams on the venue’s notebook, offerings, policies, and operational requirements, and check in after the venue’s first several events to confirm everything is working as expected

Sales, Planning, and Venue Operations Support

  • Serve as the primary day-to-day contact for venue-specific questions from the aVenue sales and planning teams, troubleshooting issues and process gaps during each venue’s ramp-up period
  • Coordinate directly with venue managers for booked events to confirm staffing, equipment, setup requirements, timelines, and logistics, and attend the first event at each newly onboarded venue
  • Lead the post-event debrief following the venue’s first event, documenting key feedback and recommended improvements, and escalate high-level concerns to the VP of Venue Partnerships as needed

Systems, Documentation, and Reporting

  • Maintain accurate, up-to-date venue and event information, documentation, and vendor details in Tripleseat and other operational systems, following established processes, checklists, and playbooks
  • Use available resources and technology, including AI tools, to research information, solve problems, and improve efficiency, and contribute feedback to strengthen onboarding and operational processes
  • Prepare weekly reports summarizing venue lead activity, event lead performance, booking progress, and operational trends, presenting findings and recommended next steps to the VP of Venue Partnerships
  • Immediately escalate red flags or high-level concerns to the VP of Venue Partnerships, who will manage communication with the venue owner or senior venue leadership

Pay: $50,000.00 - $75,000.00 per year

Benefits:

  • Employee discount
  • Paid time off
