What they need

We are a growing Maryland DDA provider agency looking for a motivated, professional, and resourceful Virtual Marketing & Administrative Coordinator to help us build relationships, increase awareness of our services, develop our referral network, and support administrative activities as we continue establishing our services in Maryland.

This position will initially be performed virtually and will focus heavily on outreach, relationship-building, research, follow-up, and referral development.

We are looking for someone who is comfortable picking up the phone, introducing the agency to new contacts, sending professional emails, following up consistently, researching potential referral sources, and finding creative ways to connect our agency with individuals, families, Support Coordinators, and other professionals within the Maryland DDA community.

This is not a position for someone who simply waits to be given a list of tasks each day. We are looking for someone who can take initiative, research independently, identify opportunities, bring ideas and opinions to the table, and actively contribute to the growth of the agency.

KEY RESPONSIBILITIES

  1. Conduct outreach to Support Coordination agencies, Support Coordinators, and other potential referral sources throughout Maryland to introduce our DDA services and develop professional relationships.

  2. Make professional outreach calls and send personalized emails to potential referral sources.

  3. Research and identify Support Coordination agencies, Support Coordinators, community organizations, disability-related organizations, professional networks, and other potential referral sources throughout Maryland.

  4. Build and maintain relationships with referral sources through consistent communication and follow-up.

Maintain regular follow-up with contacts rather than relying on one-time calls or emails.

  1. Research the Maryland DDA market and become familiar with the referral environment, available resources, organizations, and opportunities that may help the agency grow.

  2. Develop creative outreach strategies and bring new marketing and referral-development ideas to management.

  3. Identify community events, resource fairs, conferences, networking opportunities, provider events, and other activities where the agency may benefit from participating or having a presence.

  4. Research potential community partnerships and other organizations that may help connect the agency with individuals and families seeking DDA services.

  5. Maintain organized records of outreach calls, emails, contacts, follow-ups, referral sources, and responses.

  6. Track outreach activities and provide regular updates regarding contacts made, responses received, follow-ups needed, potential referrals, and new opportunities identified.

  7. Assist with responding to new referral inquiries and gathering information needed for the intake process.

  8. Assist with coordinating intake activities, introductory calls, virtual meet-and-greets, and follow-up communication with prospective individuals and families as needed.

  9. Help maintain outreach materials, contact lists, email templates, referral information, and other business-development resources.

  10. Conduct independent research when needed and communicate findings and recommendations to management.

  11. Provide general virtual administrative support related to marketing, referrals, intake, communication, and agency growth.

  12. Work closely with agency leadership and communicate regularly regarding progress, challenges, ideas, and opportunities.

QUALIFICATIONS AND SKILLS

The ideal candidate should:

  1. Have a bachelor's degree or other relevant college degree.

  2. Have excellent verbal and written communication skills.

  3. Speak English fluently and professionally.

  4. Be confident and comfortable speaking on the phone with Support Coordinators, professionals, individuals, families, and potential referral sources.

  5. Be comfortable making outreach calls and introducing the agency to people they have not previously spoken with.

  6. Be able to write clear, professional, and personable emails.

  7. Be professional, personable, confident, and able to build relationships virtually.

  8. Be self-motivated and able to work independently in a remote environment with limited supervision.

  9. Be consistent and disciplined with outreach and follow-up.

  10. Be highly organized and able to multitask and manage multiple contacts, follow-ups, projects, and administrative responsibilities.

  11. Be resourceful and willing to research independently rather than waiting for all information or direction to be provided.

  12. Be able to think outside the box and bring new ideas, strategies, opinions, and recommendations to management.

  13. Be comfortable receiving feedback, adjusting strategies, and trying different approaches when something is not producing results.

  14. Be dependable, dedicated, and consistent.

  15. Be comfortable using email, Microsoft Office/Google Workspace, spreadsheets, virtual meeting platforms, and other systems used for communication and tracking.

  16. Have reliable internet access and an appropriate environment for professional phone calls and virtual meetings.

PREFERRED EXPERIENCE

Experience in one or more of the following areas is preferred but not necessarily required:

Maryland DDA services

Developmental disability services

Healthcare or human services

Marketing or community outreach

Business development

Referral development

Support Coordination or case management

Healthcare marketing

Provider relations

Customer/client relationship management

Administrative coordination

Knowledge of Maryland's developmental disability service system and/or an existing professional network within the Maryland DDA community would be a strong plus.

WHAT SUCCESS IN THIS POSITION LOOKS LIKE

We are looking for someone who understands that successful marketing and referral development in this field is about building relationships, earning trust, following up consistently, and continuing to find new opportunities.

Working virtually should not limit the person's ability to take initiative.

The right person will not only complete assigned tasks but will independently research and identify opportunities that could help the agency grow.

We want someone who can come to management and say:

“I researched this Support Coordination agency and think we should connect with them.”

“I found additional referral sources we haven't contacted yet.”

“I spoke with this Support Coordinator and have a follow-up scheduled.”

“I found an upcoming Maryland event that I think the agency should attend.”

“I noticed this outreach approach isn't getting much response, and I think we should try something different.”

“I found an organization that may be a good community partner for us.”

The goal is to have someone who can execute the agency's outreach plan while also contributing ideas for improving and expanding it.
