Virtual Operations Manager

About the role

You'll be placed directly with a founder or CEO (based in the US) as their Business Operator. The founder sets the vision and makes the calls that only they can make. You handle everything else. You run the business, manage the team, own the metrics, deal with fires, and only escalate the decisions that truly require the founder's judgment. The goal is simple: the founder should be able to step away from daily operations entirely and trust that you've got it.

Key responsibilities

• Run the operational rhythm of the business — meetings, priorities, follow-through, deadlines
• Track and own key business metrics and distill them into clear, actionable updates for the founder
• Filter everything before it gets to the founder — handle what you can and only pass through what genuinely needs their input
• Solve fire drills and operational problems; escalate solutions, not problems
• Take strategic projects from idea to completion — scope, build, ship, and report back
• Manage cross-functional initiatives that don't have a clear owner
• Prepare the founder for high-stakes moments — investor calls, board meetings, key client presentations, partnership negotiations
• Manage team members and direct reports; push accountability and ensure deliverables ship on time
• Own the recruiting funnel end-to-end — write job descriptions, screen candidates, manage the pipeline
• Handle client-facing and external communications on behalf of the founder
• Own or manage budget decisions — approving vendor spend, negotiating contracts, managing payments
• Handle financial operations like invoicing, expense reporting, and vendor management
• Document existing workflows and SOPs; create them if they don't exist
• Identify manual, repetitive processes and build automations using Make, Zapier, Claude Code, and other AI tools
• Monitor and optimize existing automations and AI workflows

About you

• 3+ years of operational experience in fast-moving environments — Chief of Staff, Head of Ops, Director of Operations, Business Operations Manager, or similar role
• Experience running operations, managing projects, and supporting a senior leader directly in startups, SMBs, agencies, consulting, or similar environments
• Think like an owner — when something breaks, you fix it; when a process is slow, you rebuild it; when a decision needs to be made, you make it
• Actively using ChatGPT, Claude, or similar AI tools in your work today
• Experience with Make, Zapier, Notion, Airtable, or equivalent is a strong plus
• Willingness to learn vibe coding and AI agent management
• Strong communicator in English, both written and verbal
• Handle pressure without drama — fire drills, ambiguity, competing priorities, and difficult conversations are your daily life
• Metrics-driven — think in numbers, track KPIs, hold people accountable to targets
• Excellent command of the English language, both spoken and written
• A suitable work-from-home space with minimum internet connection of 30 Mbps
