Role Overview

We are looking for a Visa & Operations Executive to turn confirmed holiday bookings into smooth, well-organised journeys. You will manage visa processing and coordinate flights, hotels, sightseeing and experiences, carry out pre-travel quality checks, brief clients before departure, and remain available to support them throughout their tour, so that every traveller enjoys a seamless experience.

Key Responsibilities

• Manage visa applications and documentation for clients, guiding them on requirements and keeping them updated on progress.
• Coordinate bookings for flights, hotels, transfers, sightseeing and experiences with suppliers and ground partners, confirming availability, inclusions and costs.
• Conduct thorough pre-travel quality checks to ensure all arrangements, documents and vouchers match the approved itinerary and client preferences.
• Follow up with clients on payment collection and maintain a clear record of dues, deadlines and pending actions.
• Conduct a pre-departure briefing with each client, sharing the final itinerary and a clear plan of action for the tour.
• Provide continuous on-tour support, remaining available at all times to resolve issues, coordinate changes and keep clients informed.
• Follow up on supplier confirmations and payments, and maintain accurate booking files and records in the company's systems.
• Coordinate closely with the sales, CRM and accounts teams for smooth handovers, and share post-trip feedback and learnings.

Skills and Qualifications

• Minimum 3 years of experience in travel operations, visa processing, ticketing or reservations; strong working knowledge of visas, flights, hotels, sightseeing and other travel experiences.
• Fluency in spoken and written English, Hindi and Bengali.
• Excellent communication and client-handling skills, with a commitment to delivering outstanding service.
• Strong attention to detail, with the ability to manage multiple bookings and deadlines.
• Comfortable using email, Excel/Google Sheets and booking or CRM tools.
• Calm, responsible approach to problem-solving, with willingness to be available during client travel and to work on-site in Kolkata.
