What they need

About the Role

We are looking for an experienced and responsible Visa Consultant to independently handle visa applications and provide end-to-end visa assistance to clients. The candidate should have strong practical knowledge of visa documentation, application procedures and embassy/consulate/VFS processes, along with excellent attention to detail and customer-handling skills.

The role will involve handling visa requirements across multiple destinations and coordinating with clients, internal teams, travel partners and visa centres to ensure applications are processed accurately and within timelines.

Key Responsibilities

  • Handle end-to-end visa application processes from initial enquiry and requirement assessment to submission and final outcome.
  • Understand client travel plans and determine applicable visa requirements, documentation and application procedures.
  • Prepare and verify visa application forms, checklists, cover letters, invitation letters, financial documents and other supporting documentation.
  • Review client documents carefully for accuracy, completeness, consistency and compliance with applicable visa requirements.
  • Guide clients regarding documentation, financial requirements, photographs, travel insurance, appointments, biometrics and other applicable formalities.
  • Handle visa applications for tourist, business, conference, family visit and other relevant categories, as applicable.
  • Maintain up-to-date knowledge of visa rules, documentation requirements, processing procedures and changes announced by embassies, consulates, VFS centres and other relevant authorities.
  • Coordinate visa appointments, document submission, biometrics and other application-related activities.
  • Coordinate with clients, embassies, consulates, VFS/TLS/BLS and other visa application centres, overseas partners and internal teams.
  • Monitor application status and proactively follow up on pending applications and requirements.
  • Identify documentation gaps, inconsistencies or potential concerns and communicate them clearly to clients and management.
  • Handle visa-related queries, escalations and client concerns professionally.
  • Maintain accurate records of all applications, documents, appointments, payments, submissions and visa outcomes in the Company's CRM and other systems.
  • Ensure proper handling, confidentiality and secure storage of passports, personal information and other sensitive client documents.
  • Coordinate with the Sales & Operations team to ensure smooth integration of visa services with flights, hotels, tours and other travel arrangements.
  • Maintain appropriate communication with clients throughout the application lifecycle and provide timely updates.
  • Track visa application outcomes, rejections, approvals and other relevant trends to improve the Company's visa services.
  • Assist in developing and maintaining destination-wise visa checklists, SOPs and internal knowledge resources.
  • Support business development by identifying opportunities for additional visa-related business from existing and prospective clients, travel agents and corporate accounts.
  • Maintain professional relationships with B2B travel agents, B2C clients, corporate clients, overseas partners and other business stakeholders.
  • Ensure compliance with Company policies, confidentiality requirements and applicable visa/immigration procedures.
  • Perform any other responsibilities assigned by the Company from time to time, commensurate with the role.

Required Skills & Experience

  • 45 years of hands-on experience in visa consultancy / visa processing / travel operations.
  • Strong practical knowledge of visa processes for major destinations, particularly UK, Schengen/Europe, USA, Canada, Australia, New Zealand, Japan, Singapore, China and other popular destinations.
  • Experience dealing with VFS Global, BLS, TLScontact, embassies/consulates and online visa application portals.
  • Strong documentation and application-review skills.
  • Excellent attention to detail.
  • Good written and verbal communication skills.
  • Ability to independently manage multiple applications and deadlines.
  • Good client-handling and problem-solving skills.
  • Proficiency in MS Office / Google Workspace and willingness to work with CRM and other digital systems.
  • Ability to work under time-sensitive conditions and handle urgent visa requirements responsibly.

Preferred

  • Experience handling complex or high-value visa applications.
  • Experience with corporate and B2B visa requirements.
  • Experience handling visa refusals, reapplications and documentation-related challenges.
  • Experience with multiple visa application portals and online appointment systems.
  • Existing knowledge of travel products such as flights, hotels and tour packages will be an advantage.

Candidate Profile

We are looking for someone who is independent, detail-oriented, accountable and proactive, rather than someone who only performs visa documentation work based on instructions.

The ideal candidate should be capable of taking ownership of an application from start to finish, identifying potential issues before submission, communicating proactively with clients and ensuring that no application is delayed due to avoidable errors or lack of follow-up.
