Role overview
We are looking for an experienced, hardworking Warehouse Dispatch Manager to support the daily running of our warehouse, with particular responsibility for the dispatch office, dispatch bay and the complete picking-to-dispatch process.
This is a hands-on position requiring someone who can lead the team, work alongside warehouse staff and maintain tight control over order accuracy, productivity and dispatch deadlines.
The successful candidate will ensure that orders are picked correctly, checked thoroughly, packed securely and dispatched on time. They will take ownership of problems, strengthen working procedures and hold the team accountable for maintaining consistent standards.
Key responsibilities
Picking and order accuracy
· Plan and allocate daily picking activity to meet customer requirements and carrier collection deadlines.
· Ensure the correct products, sizes and quantities are selected using the WMS and handheld scanners.
· Enforce scanning and checking procedures at each required stage.
· Investigate shortages, stock discrepancies and picking errors, resolving issues before dispatch.
· Ensure orders can be traced from release through picking, checking, packing and loading.
· Identify recurring errors and introduce practical improvements to prevent repeat issues.
Dispatch office
· Oversee daily dispatch administration, ensuring system records, paperwork and physical orders match.
· Ensure delivery notes, carrier labels, pallet details and other dispatch documents are accurate and complete.
· Coordinate collections and deliveries with carriers, drivers and relevant internal departments.
· Monitor outstanding orders and communicate delays or exceptions promptly.
· Ensure goods are recorded as dispatched only once the required checks and handover have been completed.
· Provide cover in the dispatch office and ensure other staff are trained to maintain continuity.
Dispatch bay and loading
· Organise the dispatch bay so orders are clearly identified and staged by carrier, customer or delivery route.
· Oversee packing, pallet building and loading to minimise damage and incorrect deliveries.
· Ensure pallets and packages meet customer and carrier requirements.
· Check that the correct goods are loaded onto the correct vehicle.
· Ensure collection and delivery paperwork is signed where required and retained appropriately.
· Maintain clear access routes, safe loading practices and a tidy working area.
Team leadership
· Allocate work according to priorities, available staff and daily volumes.
· Set clear expectations for accuracy, productivity, attendance and communication.
· Monitor progress throughout the day and adjust resources to prevent bottlenecks.
· Train and coach staff in picking, scanning, packing and dispatch procedures.
· Address poor working practices promptly and escalate conduct or performance concerns to the Head of Operations.
· Work alongside the team during busy periods, including picking, packing and loading where required.
· Encourage cooperation between dispatch, selection, Goods In and stock control.
Wider warehouse responsibilities
· Support the Head of Operations in maintaining an efficient and organised warehouse.
· Coordinate with sales and customer service to resolve order queries and delivery issues.
· Ensure stock is handled carefully and discrepancies are reported promptly.
· Maintain high standards of housekeeping and health and safety.
· Ensure equipment is used safely and only by appropriately trained staff.
· Provide management cover as required and progressively take on wider warehouse responsibilities.
· Report operational issues with clear actions, owners and follow-up.
Essential experience and skills
· Previous experience as a warehouse supervisor, team leader or assistant warehouse manager.
· Strong practical experience in picking, packing and dispatch.
· Experience of both dispatch office administration and dispatch bay operations.
· Experience using a warehouse management system and handheld scanners.
Desirable experience
· Experience handling rugs, bulky products or palletised goods.
· Familiarity with Microsoft Dynamics NAV or Business Central.
· Experience improving picking accuracy and dispatch performance.
· Forklift qualifications and practical experience.
· Experience training staff and providing management cover.
· Proven ability to organise workloads, supervise staff and meet deadlines.
· Strong attention to detail, particularly when checking products, quantities and paperwork.
· Clear communication skills and confidence in dealing with staff, carriers and internal departments.
· Ability to investigate problems, make practical decisions and follow issues through to completion.
· A reliable, hardworking approach and willingness to take an active role on the warehouse floor.
Personal qualities
We need someone who:
· Takes ownership and follows through on commitments.
· Leads by example and maintains high standards.
· Is organised, firm, fair and approachable.
· Remains calm and effective under pressure.
· Challenges errors and poor practices constructively.
· Has the ambition and ability to develop into Warehouse Manager.
Performance expectations
Success in the role will be measured by:
· Improved picking accuracy and fewer short or incorrect deliveries.
· Orders dispatched on time with complete and accurate documentation.
· Consistent compliance with WMS, scanning and checking procedures.
· An organised dispatch office and bay.
· Improved productivity and clear accountability across the team.
· Prompt resolution of discrepancies and operational problems.
