Warehouse Executive (Fresh Produce)

Job Summary

We are looking for a responsible and hands-on Warehouse Executive to support the daily operations of our warehouse and cold-room facilities.

The successful candidate will be responsible for coordinating receiving, storage, picking, packing and dispatch activities while ensuring inventory accuracy, product quality, food safety and operational efficiency.

Candidates with experience in fresh produce, supermarket, FMCG, food distribution or cold-chain warehouse operations will have an added advantage.

Key Responsibilities

1. Warehouse Operations

• Coordinate and monitor daily warehouse activities including receiving, unloading, storage, picking, packing, loading and dispatch.
• Ensure all incoming and outgoing goods are properly checked against relevant documents.
• Ensure products are stored correctly according to designated storage locations and temperature requirements.
• Maintain smooth warehouse operations and ensure orders are prepared accurately and on time.
• Coordinate with Sales, Procurement, Logistics and other departments on stock movement and delivery requirements.

2. Inventory Management

• Monitor inventory levels and ensure physical stock matches system records.
• Conduct regular stock counts, cycle counts and stock reconciliation.
• Investigate stock discrepancies, shortages, damages or incorrect stock movements.
• Ensure proper implementation of FIFO (First-In, First-Out) and FEFO (First-Expired, First-Out) practices.
• Monitor ageing, slow-moving and damaged stock and report abnormalities to management.
• Ensure all stock movements are properly recorded and traceable.

3. Fresh Produce & Cold Room Management

• Monitor the proper handling and storage of fresh fruits and produce to minimise damage, spoilage and wastage.
• Ensure cold-room temperatures and storage conditions are maintained according to operational requirements.
• Monitor product condition during receiving, storage and dispatch.
• Work closely with the QC team to identify damaged, overripe or non-conforming products.
• Ensure proper stock rotation to maintain product freshness and quality.

4. Team & Manpower Coordination

• Coordinate warehouse workers, pickers, packers, forklift operators and other operational personnel.
• Assign daily tasks and monitor productivity and work completion.
• Ensure sufficient manpower is allocated according to operational requirements.
• Monitor employee attendance, punctuality, discipline and work performance.
• Provide guidance and on-the-job training to warehouse employees when required.

5. Safety, Hygiene & Compliance

• Ensure warehouse operations comply with company SOPs, HACCP, food safety and occupational safety requirements.
• Maintain high standards of warehouse cleanliness and housekeeping.
• Ensure aisles, emergency exits, loading areas and storage locations remain clear and safe.
• Ensure employees use appropriate PPE and follow safe working procedures.
• Report workplace hazards, accidents, equipment damage or unsafe practices immediately.
• Support internal and external audits relating to warehouse, food safety and inventory control.

6. Equipment & Facility Monitoring

• Monitor the condition and proper use of warehouse equipment including forklifts, pallet jacks, weighing equipment and racking systems.
• Report equipment breakdowns or maintenance requirements promptly.
• Ensure warehouse equipment is properly maintained and used safely.
• Monitor warehouse and cold-room facilities and highlight any operational issues to management.

7. Documentation & Reporting

• Maintain accurate records for receiving, stock movement, picking, dispatch and stock adjustments.
• Prepare daily or weekly warehouse operational reports as required.
• Report stock discrepancies, damages, wastage and operational issues to management.
• Assist in preparing documents and records required for audits.
• Perform other warehouse and operational duties assigned by management.

Requirements

• Diploma or Degree in Logistics, Supply Chain Management, Warehouse Management, Business Administration or related field.
• Minimum 2–3 years of working experience in warehouse, logistics or inventory operations.
• Experience in fresh produce, supermarket, FMCG, food distribution or cold-chain operations is preferred.
• Good understanding of inventory control and FIFO/FEFO practices.
• Experience supervising or coordinating warehouse workers will be an advantage.
• Familiar with warehouse management systems, inventory systems and Microsoft Excel.
• Able to work in a cold-room / fresh produce warehouse environment.
• Good communication, coordination and problem-solving skills.
• Responsible, organised, detail-oriented and able to work under pressure.
• Willing to work additional hours when required by operational needs.
