JOB DESCRIPTION - WAREHOUSE MANAGER

Role Objective
To manage the complete warehouse operations at Spectrum Jalgaon, ensuring smooth and controlled flow of materials from inward to issue and finished goods from plant to customer/interplant dispatch, with strong control over physical stock, SAP transactions, traceability, inventory accuracy and warehouse discipline.
Key Responsibilities
1. Material Inward

• Manage complete inward process for RM, BOP, packaging and other materials.
• Ensure material receipt against approved PO and required documents.
• Verify material code, description, quantity and physical condition.
• Coordinate with Purchase, SCM and Quality for inward clearance and discrepancies.
• Ensure timely GRN and SAP transactions.
• Ensure proper identification, segregation, bin allocation and storage of material.
• Prevent unauthorized or undocumented material inward.

2. Material Issue to Plant / Vendor

• Manage material issue to Spectrum plants as per approved production requirements and requisitions.
• Ensure availability of material as per production plan and priority.
• Verify material code, quantity and destination before issue.
• Ensure physical movement and corresponding SAP transaction are completed correctly.
• Coordinate with PPC/Production/SCM for critical and urgent requirements.
• Control unauthorized, excess or direct material movement.
• Monitor material issued to outsourcing vendors and ensure proper reconciliation.

3. Finished Goods Collection & Receipt

• Coordinate collection of FG from Spectrum plants as per dispatch requirements.
• Ensure proper verification of quantity, material identification and documentation.
• Ensure FG received from plants is properly recorded and stored.
• Maintain plant-wise FG availability and pending collection status.
• Ensure proper physical and SAP transfer/receipt of FG.

4. Customer & Interplant Dispatch

• Manage finished goods dispatch to customers and interplant locations as per approved dispatch plan.
• Coordinate with SCM, Production, Quality and Transporters for dispatch readiness.
• Verify FG quantity, packing, documentation and dispatch authorization.
• Ensure timely vehicle loading and dispatch.
• Ensure required SAP transactions are completed accurately.
• Monitor pending and delayed dispatches and take corrective action.
• Maintain complete dispatch traceability.

5. Inventory & Warehouse Control

• Ensure physical stock accuracy against SAP stock.
• Conduct regular cycle counts and investigate stock discrepancies.
• Ensure systematic rack/bin management and FIFO wherever applicable.
• Monitor excess, shortage, slow-moving and non-moving inventory.
• Ensure proper material preservation, housekeeping, 5S and safety.
• Ensure warehouse transactions are completed on time and without process bypass.

6. Team & Daily Operations

• Manage warehouse manpower and assign clear responsibility for inward, issue, FG and dispatch activities.
• Monitor daily workload, productivity and pending activities.
• Train the team on warehouse SOPs, SAP discipline, safety and material handling.
• Ensure compliance with defined warehouse processes.
• Drive continuous improvement in warehouse productivity, control and traceability.

7. MIS & Management Reporting

• Prepare and review daily warehouse MIS covering:

• Material Inward / GRN

• Material Issue

• FG Collection & Receipt

• FG Availability

• Customer Dispatch

• Interplant Dispatch

• Stock Accuracy

• Pending / Delayed Transactions

• Highlight critical shortages, discrepancies and process deviations to management.

• Track warehouse KPIs and ensure timely corrective actions.

Qualifications & Experience Requirements
Educational Qualification

• Graduate in any discipline; preferably B.Com / BBA / B.Sc.
• Diploma / Degree in Materials Management, Supply Chain Management or Logistics will be an added advantage.
• Working knowledge of SAP ERP for material inward, GRN, stock transfer, material issue and dispatch transactions is essential.

Experience

• 7-10 years of overall experience in warehouse, stores or material management, preferably in a manufacturing organization.
• Minimum 2-3 years of experience handling warehouse operations independently, preferably at a supervisory or managerial level.
• Experience in managing material inward, material issue, inventory control, finished goods receipt and customer/interplant dispatch.
• Experience in handling RM, BOP, packaging materials and finished goods.
• Experience in warehouse manpower management, stock reconciliation, cycle counting and daily MIS reporting.
• Exposure to coordination with SCM, PPC, Production, Quality, Purchase and Transporters.

Required Skills & Competencies

• Strong knowledge of warehouse processes and inventory control.
• Good working knowledge of SAP and MS Excel.
• Strong coordination, communication and problem-solving skills.
• Ability to manage manpower, prioritize urgent requirements and ensure timely execution.
• High level of ownership, process discipline and documentation accuracy.
• Knowledge of 5S, FIFO and warehouse safety practices.
