Warehouse Operation Manager

Location: Based in KL during setup phase. Ultimately based in JB warehouse.

Role Purpose

The Warehouse Operations Manager is responsible for running HOOGA's warehouse operations in Johor Bahru day to day, ensuring accurate, timely and cost-efficient fulfilment for retail store replenishment and e-commerce orders across the network.

This role will own the warehouse performance - inventory accuracy, order fulfilment, people, safety and cost, while provide support in the setup, transition and future development of the JB warehouse. Experience in setting up or relocating a warehouse is an advantage but not a requirement; the priority is a proven operator who can run a disciplined, reliable warehouse from day one.

Key Responsibilities

1. Warehouse Development & Stakeholder Management

• Support in transitioning warehouse operations from Singapore to Johor Bahru, including setting up the JB warehouse (layout, racking and equipment), manpower planning, inventory migration and go-live, with minimal disruption to store and e-commerce fulfilment.

• Provide operational input into longer-term distribution centre planning and capacity requirements.

• Manage relationships and performance of 3PLs, transport providers, couriers, forwarders and equipment vendors.

• Work closely with Merchandising, Retail Operations, E-commerce, Purchasing, Finance and HR to align warehouse operations with business needs.

2. Warehouse Operations

• Manage end-to-end daily warehouse operations, including receiving, inspection, put-away, storage, replenishment, picking, packing, dispatch and returns.

• Ensure store replenishment and e-commerce orders are fulfilled accurately, on time and within agreed service levels and cut-off times.

• Plan ahead for peak periods, festive seasons and promotional campaigns, including space, manpower, packaging materials and transport capacity.

• Coordinate outbound shipments to stores in Malaysia, cross-border deliveries to Singapore and export shipments to overseas markets, including the required shipping and customs documentation.

3. Inventory Control & Accuracy

• Own inventory accuracy through cycle counts, periodic stock takes, discrepancy investigation and root-cause resolution.

• Implement and enforce controls for stock movements, inter-location transfers, damages, write-offs and returns.

• Reconcile physical stock against system records and resolve variances in partnership with Finance and Merchandising.

• Report regularly on stock health, including aged, slow-moving, damaged and non-saleable inventory, and recommend actions.

4. Performance, KPIs & Cost Control

• Define, track and report warehouse KPIs such as inventory accuracy, order fill rate, pick accuracy, on-time dispatch, productivity, damage rate and cost per order.

• Manage the warehouse operating budget, including manpower, overtime, consumables, packaging, equipment and third-party logistics costs.

• Identify and implement practical process improvements to raise accuracy, speed and productivity while reducing cost and errors.

5. Health, Safety & Security

• Ensure compliance with the Occupational Safety and Health Act and DOSH requirements, including hazard identification and risk assessment (HIRARC), safe material handling, forklift and MHE operator competency, BOMBA fire safety and housekeeping.

• Maintain the security of stock and premises through access controls, loss-prevention measures and incident investigation.

• Ensure warehouse equipment, racking and facilities are properly maintained and inspected.

Preferred Experience

• Experience setting up, relocating or expanding a warehouse or distribution centre; greenfield DC experience is a strong advantage.

• Experience in high-SKU retail, FMCG, consumer goods or similar environments.

• Experience with both carton/case store replenishment and single-unit e-commerce picking.

• Experience with cross-border Malaysia–Singapore movements and export shipments, including customs documentation will be an added advantage.
