Warehouse Operations Supervisor

About the role

The Warehouse Operations Supervisor will be the senior operational owner of warehouse activity in Malaysia. The role supervises an internal warehouse employee who acts as the day-to-day link between a third-party logistics (3PL) provider and internal teams, manages the 3PL as a vendor, drives discipline across inbound and outbound operations, and takes ownership of cost control, reporting, and issue resolution.

Key responsibilities

• Manage the day-to-day relationship with the 3PL warehouse provider; track SLA performance, conduct regular performance reviews, and escalate issues.
• Oversee 3PL costs: review invoices, flag billing anomalies, challenge unnecessary charges, and negotiate rates where appropriate; protect margin through disciplined cost oversight.
• Oversee inbound receiving: ensure arrivals are checked, documented, and matched to POs; raise and resolve discrepancies promptly.
• Oversee outbound dispatch: ensure picks are accurate, packed correctly, and dispatched on time against customer orders; drive zero-error execution.
• Manage returns, damages, and claims: process returns correctly, document damages, and file claims with suppliers, carriers, or the 3PL.
• Own stock accuracy and inventory control: run cycle counts and stocktakes, investigate variances, and keep system stock aligned with physical stock.
• Enforce FIFO and FEFO discipline across all stock, with particular attention to frozen and short-shelf-life items.
• Supervise the internal warehouse employee who serves as the 3PL liaison: provide day-to-day direction, performance oversight, and development.
• Prepare and deliver reports on stock levels, movement, discrepancies, 3PL performance, and cost tracking; share weekly and monthly reports with management.
• Ensure the 3PL meets food-grade standards, halal segregation requirements, temperature controls (where applicable), hygiene, and pest control; audit regularly and act on findings.

About you

• Diploma or Bachelor's degree in Logistics, Supply Chain, Business, or a related field.
• 5 to 8 years of hands-on warehouse operations experience in FMCG, consumer goods, or foodservice, with at least some supervisory responsibility.
• FMCG, consumer goods, or foodservice industry experience required; strong understanding of food-grade standards, halal segregation, and temperature controls.
• Proven experience managing a 3PL relationship or working closely with 3PL providers; comfortable holding vendors accountable to SLAs.
• Strong knowledge of inbound receiving, outbound dispatch, stock control, cycle counts, and FIFO / FEFO discipline.
• HACCP, halal certification knowledge, Lean, or Six Sigma certifications are an advantage.
• Working knowledge of accounting systems such as Tally and SQL Account; experience with Microsoft Dynamics is an advantage.
• Experience working with 3PL WMS portals (reading reports, reconciling stock, raising orders) is a strong advantage.
• Intermediate Excel skills: comfortable with pivot tables, lookups, and formulas for stock analysis, 3PL cost reconciliation, and reporting.
• Excellent written and spoken English; Bahasa Malaysia and any additional language are strong advantages.
