What they need
Ready for a role where no two days are the same?
If you’re an organised, switched on administrator who can juggle multiple priorities, keep trades moving and stay calm when things get busy, this could be the opportunity you’ve been looking for.
Our client is a well-established and highly regarded business within the timber flooring and building industry. With decades of experience and strong relationships with some of Australia’s leading residential builders, they continue to grow through a genuine commitment to service, quality and getting the job done right.
We’re now looking for a Warranty & Administration Coordinator to join their busy Thomastown team.
This is not a role where you’ll be sitting around waiting for the phone to ring. You’ll be coordinating people, managing jobs, speaking with clients and trades, updating systems and keeping multiple jobs moving forward, often all at the same time.
About the Role
Reporting to the Operations Manager, you’ll become an integral part of a busy administration and coordination team responsible for managing warranty jobs from initial request through to completion.
Your ability to prioritise, multitask and think on your feet will be critical.
Your day-to-day responsibilities will include:
- Coordinating warranty jobs from commencement through to completion
- Managing daily schedules and coordinating installers and trade teams across multiple sites
- Liaising with builders, clients, warranty managers and installation teams
- Maintaining strong working relationships with key builder accounts
- Providing administration and coordination support to the wider team
- Ensuring jobs are accurately scheduled, followed up and completed within required timeframes
- Managing calendars and coordinating levellers and timber installers from site to site
- Updating systems, job files and relevant documentation
- Data entry, stock coordination and general administration
- Working to established processes, targets and service standards
What We're Looking For
We’re looking for someone who takes ownership.
You may already have experience in building, construction, property, trades or warranty administration, or you may simply have a strong background in a busy coordination environment where you're constantly dealing with competing priorities.
Ideally, you will have:
- At least 3 years' administration experience in a fast-paced environment
- Experience coordinating trades, contractors, technicians or field-based teams
- Experience within the residential building industry is highly desirable
- Excellent organisational and time-management skills
- The ability to confidently multitask and manage competing deadlines
- Strong attention to detail without losing sight of the bigger picture
- Excellent verbal and written communication skills
- Confidence dealing with builders, clients, trades and internal stakeholders
- Strong computer skills and the ability to work with reporting systems and data
- A proactive, solutions-focused approach
- The confidence to make decisions and use initiative
- A positive "can-do" attitude
- The resilience to stay focused and productive when things get hectic
The Personality We're Looking For
This role will suit someone who enjoys being busy.
You’ll need to be comfortable switching between tasks, answering questions, chasing jobs, coordinating trades and dealing with unexpected issues, sometimes within the same five minutes!
You won’t be successful by simply ticking boxes. You’ll need to think ahead, communicate clearly, follow things through and take ownership of your workload.
If you're the person who naturally keeps things organised, we would like to hear from you.
What’s On Offer?
- Competitive base salary
- Paid day off on your birthday
- Comprehensive training and ongoing support
- Career progression opportunities
- Annual recognition events
- Stable, long-term career opportunity
- The opportunity to join a growing and highly respected business
- A supportive team environment where your contribution genuinely matters
- Work 9am -5pm + parking on site
