Wedding & Events Coordinator – Riverstone Estate, Yarra Valley

ABOUT US

Riverstone Estate is a family-owned Yarra Valley winery, established in 1996, producing estate Chardonnay, Pinot Noir and Cabernet Sauvignon. We run a cellar door, restaurant and a growing events business across intimate private rooms, a covered terrace and outdoor vineyard settings. We're investing in a new function venue and premium visitor experience, and need someone to build and run our weddings and events from enquiry to final toast.

THE ROLE

• Own the full event lifecycle: enquiries, site tours, proposals, contracts, deposits and final invoicing
• Plan and run weddings, corporate functions, private dining and wine events
• Build run sheets, floor plans and supplier schedules; coordinate florists, photographers, AV, celebrants and styling
• Work with our chef and front-of-house team on menus, wine pairings and staffing
• Be the on-the-day lead – calm, visible and in control
• Grow the pipeline: wedding expos, planner and vendor relationships, social content, follow-ups
• Maintain CRM, booking calendar and event reporting

ABOUT YOU

• 2+ years in wedding or events coordination, ideally in a winery, restaurant or hospitality venue
• Strong sales instinct – you convert enquiries, not just answer them
• Highly organised; comfortable juggling multiple events and deadlines
• Polished communicator with clients and suppliers
• Available weekends and evenings as events require
• Current RSA (or willing to obtain); driver's licence and own car essential
• Bonus: Mandarin or another second language, venue software experience (e.g. Tripleseat, Perfect Venue)
