WFH Insurance Bookkeeper (QuickBooks Online)

Job Overview

Our client is seeking a skilled Bookkeeper to serve as the financial backbone for multiple insurance agency clients, managing their books primarily through QuickBooks Online (QBO) and Dub. This role combines hands-on bookkeeping with client-facing responsibilities, including onboarding sessions and product demonstrations. The successful candidate will also help create SOPs and documentation as the business develops its service delivery processes while working directly with the U.S.-based founders during their business hours with significant autonomy in developing efficient workflows.

Client Overview

Our client is a growing U.S.-based online bookkeeping firm specializing in serving independent insurance agencies. Founded by experienced insurance professionals, the company is launching a bookkeeping service specifically designed for the insurance industry, with plans to onboard approximately 100 agencies by year-end. This is a ground-floor opportunity for a bookkeeper who wants to help build standardized processes and contribute to a rapidly scaling business.

Schedule

Monday - Friday, flexible within 9:00 AM - 5:00 PM Pacific Time (20 work hours per week)

Responsibilities

• Manage day-to-day bookkeeping and maintain accurate, up-to-date financial records for multiple insurance agency clients using QuickBooks Online and Dub.
• Handle administrative tasks related to client account management, documentation, and system integrations.
• Conduct client onboarding sessions, walk new clients through QuickBooks Online setup, and perform product demonstrations.
• Explain bookkeeping processes clearly, communicate directly with clients during U.S. business hours, and provide ongoing technical support.
• Develop, document, and standardize SOPs, workflows, and bookkeeping processes as the new service line grows.
• Identify opportunities to improve efficiency and adapt quickly to new tools, systems, and processes as the business evolves.

Requirements

• Extensive experience with QuickBooks Online, including client account setup and integrations.
• Proven bookkeeping experience managing multiple clients or accounts simultaneously.
• Strong verbal communication skills with confidence in conducting client demos, onboarding sessions, and explaining technical processes to non-technical clients.
• Experience creating SOPs, process documentation, or workflow guides.

Qualifications

• Experience using Quickbooks Online and Dub.
• Previous experience working with insurance agencies, financial services clients, startups, or early-stage companies.
• Experience building operational processes from the ground up and scaling bookkeeping operations for a growing client base.
