Job Summary
MFABI is seeking a Wholesale Operations Administrator to oversee and coordinate the administrative side of our wholesale and dropship operations.
This role serves as a key liaison between our brand partners, internal administrative team, and fulfillment team, ensuring wholesale and dropship orders are accurately processed, properly communicated, and moving toward shipment in a timely manner.
The position requires someone who is highly organized, proactive, detail-oriented, and comfortable managing multiple orders, brands, systems, and priorities at the same time.
A major focus of this role is wholesale operations—making sure orders are progressing from the brand through our internal systems and fulfillment process and that issues are identified and resolved before they delay shipment.
This is primarily an administrative, coordination, and systems-based position, not a hands-on warehouse or fulfillment-floor role.
Key ResponsibilitiesWholesale Operations
- Oversee the day-to-day administrative operations for wholesale orders
- Manage and monitor wholesale and dropship orders from receipt through shipment
- Ensure orders are entered, maintained, and updated accurately in company systems
- Monitor order status and follow up on outstanding orders, products, and information
- Identify issues that may prevent an order from shipping and coordinate resolution
- Track backorders, inventory issues, order discrepancies, and other exceptions
- Ensure brands receive timely and accurate updates regarding their orders
- Maintain organized records and documentation for wholesale accounts
Brand & Fulfillment Liaison
- Act as the primary administrative liaison between brands and the fulfillment team
- Communicate brand requirements, order priorities, and special instructions to fulfillment
- Follow up with fulfillment to ensure orders are progressing toward shipment
- Communicate shipment delays, inventory issues, or other exceptions back to brands
- Coordinate solutions when orders cannot be fulfilled as expected
- Ensure communication between brands and fulfillment is clear, timely, and accurate
- Proactively identify potential shipment delays and escalate issues when necessary
- Help ensure wholesale customers' expectations and shipping requirements are being met
Administrative Team Coordination
- Coordinate and oversee the day-to-day responsibilities of the wholesale administrative team
- Assign and prioritize tasks based on order requirements and business needs
- Follow up to ensure administrative work is completed accurately and on time
- Review work for accuracy and identify issues requiring correction
- Provide guidance and support to administrative team members
- Help maintain consistent processes and procedures across the team
- Assist with training new administrative employees
- Serve as an escalation point for administrative and order-related issues
Systems & Platforms
- Manage daily wholesale workflows across Shopify, SkuVault, Zoho, and other company platforms
- Ensure order, customer, product, and inventory information is accurate across systems
- Monitor information between platforms and identify discrepancies
- Troubleshoot administrative and system-related issues
- Coordinate with internal teams when system issues impact orders or fulfillment
- Help establish and maintain proper system procedures
- Identify opportunities to improve system workflows and efficiency
- Support implementation and adoption of new platforms and processes
Order & Shipment Coordination
- Monitor wholesale orders to ensure they are moving through the fulfillment process
- Review orders for missing information, inventory issues, or other potential delays
- Follow up on orders approaching required ship dates
- Coordinate with fulfillment regarding urgent or time-sensitive wholesale orders
- Track shipment status and communicate updates as needed
- Assist with resolving shipping discrepancies and exceptions
- Maintain visibility into outstanding and delayed orders
Reporting & Process Improvement
- Prepare and review wholesale operations reports
- Use Excel and system data to monitor orders, inventory, and shipment activity
- Track outstanding issues and follow-up items
- Identify recurring operational problems and recommend improvements
- Help create and maintain SOPs and administrative workflows
- Look for ways to improve communication between brands, administration, and fulfillment
- Support management with wholesale operations projects and reporting
Qualifications
- 2+ years of experience in wholesale operations, order management, e-commerce operations, customer operations, or a related field
- Experience working with wholesale accounts, brands, retailers, or B2B customers preferred
- Experience coordinating with fulfillment, warehouse, logistics, or shipping teams

- Excellent written and verbal communication
- Strong attention to detail and follow-through
- Excellent organizational and time-management skills
- Ability to manage multiple brands, orders, and deadlines simultaneously
- Strong problem-solving skills
- Comfortable escalating issues and communicating delays when necessary
- Ability to learn new systems and processes quickly
- Comfortable working in a fast-paced, in-person environment
The Ideal Candidate
The ideal candidate is someone who can own the wholesale operations process from an administrative perspective.
You are someone who:
- Keeps track of what needs to ship and what is holding an order up
- Proactively follows up rather than waiting for problems to be reported
- Can communicate effectively with both brands and fulfillment teams
- Is comfortable managing multiple brands and orders simultaneously
- Understands how wholesale orders move through systems and fulfillment
- Can identify an issue, determine who needs to address it, and follow through until it is resolved
- Is comfortable working in Shopify, SkuVault, Zoho, Excel, and other systems
- Can provide direction and support to other administrators
- Takes ownership of deadlines and shipment priorities
- Is detail-oriented without losing sight of the bigger operational picture
Important: This Is Not a Warehouse Position
This position is focused on wholesale operations, administration, systems, and coordination.
The person in this role will work closely with the fulfillment team but will not primarily be picking, packing, labeling, or physically processing orders on the warehouse floor.
The focus is on making sure the administrative side of wholesale and dropship operations is organized, communicated, and moving efficiently so the fulfillment team can ship orders on time.
Work Location
This is a fully in-person position in Brooklyn, NY.
The role involves significant computer-based work, communication with brands and internal teams, order management, system management, and coordination with fulfillment.
Starting Pay: $22.00/hour
