Workforce Management Associate (Project-Based)

About the role

As a vital member of the HRTCAD team, the Workforce Management Associate (Project-Based) plays a pivotal role in ensuring the efficient and timely sourcing of temporary or reliever staff for various medical staff positions within the organization. This is a project-based position for six (6) months. In this role, you will drive strategic planning, talent acquisition, and coordination to maintain optimal workforce levels during peak demand, employee absences, or other staffing gaps.

Key responsibilities

• Develop and implement sourcing strategies using job boards, social media, referrals, and other recruitment channels to build and maintain a reliable, active pool of relievers
• Conduct initial candidate assessments and interviews, collaborating closely with hiring managers to tailor recruitment efforts to specific staffing needs
• Maintain and regularly update a comprehensive database tracking reliever qualifications, skills, availability, and preferences
• Collect and secure all necessary documentation, including CVs, certifications, and clearances, ensuring compliance with company policies and applicable regulations
• Liaise with department heads and managers to identify staffing gaps and effectively communicate schedules and expectations to relievers
• Promptly address and resolve challenges or placement issues related to reliever assignments to ensure seamless operational transitions
• Track reliever attendance, reliability, and performance during assignments and gather feedback from client departments
• Provide thorough orientations to relievers regarding clinic operations and policies
• Collect and submit all necessary payroll documentation to the Human Resources Operations (HROps) team within established deadlines
• Proactively develop strategies to increase the availability of active relievers and participate in clinic immersions across different Primary Care Centers (PCCs)

About you

• Bachelor's degree in Human Resources, Business Administration, or a related field
• Proven experience in recruitment, talent acquisition, workforce planning, staffing coordination, or a related function
• Strong verbal and written communication skills to effectively interact with hiring managers, relievers, and internal stakeholders
• Ability to build extensive talent networks and implement strategic sourcing plans to maintain a dependable pool of qualified relievers
• Proficient in Google Workspace applications, particularly Google Docs, Google Sheets, and Google Slides, for documentation, database management, workforce tracking, and reporting
• Familiarity with relevant employment laws, regulations, and industry best practices
• Detail-oriented with strong organizational skills and the ability to manage databases, multiple staffing assignments, interviews, and administrative tasks simultaneously
• Highly flexible when navigating changing priorities, with strong problem-solving skills to address scheduling and placement challenges promptly
• Collaborative mindset to work effectively with HR teams and department heads while demonstrating genuine empathy toward the needs of both hiring managers and relievers
• Committed to accurate documentation, excellent internal and external customer service, and maintaining strict confidentiality when handling sensitive candidate information
