The ideal candidate is approachable, resourceful, and comfortable moving between routine requests and time-sensitive projects. You will manage details independently, communicate changes clearly, and follow through so colleagues can stay focused on their work.
Key Responsibilities
Office and Facilities
- Oversee daily office needs, including supplies, shared spaces, meeting rooms, and general workplace readiness.
- Coordinate with property management and service providers on maintenance, cleaning, repairs, deliveries, and facility requests.
- Track inventory and purchasing, arrange replenishment, and maintain organized records for office equipment and materials.
- Collect vendor paperwork, including certificates of insurance, and coordinate building access and visitor requirements.
- Prepare workspaces, access credentials, and welcome materials for new employees.
- Handle incoming and outgoing shipments, packages, and business materials, including tracking and delivery follow-up.
Leadership and Team Support
- Maintain calendars for two senior leaders, resolving scheduling conflicts and arranging meetings across time zones.
- Book travel, organize itineraries, and adjust arrangements as plans change.
- Coordinate meeting logistics, prepare spaces for visitors, and communicate relevant details to attendees.
- Keep employees informed about office updates, upcoming activities, and operational changes.
- Handle confidential business and personnel information with discretion.
Events and Special Projects
- Coordinate team gatherings, offsites, employee activities, and office celebrations.
- Support external events through registration, vendor and venue coordination, materials shipping, and onsite logistics.
- Assist with cross-functional projects, including coordinating schedules, distributing materials, and tracking outstanding tasks.
- Organize employee and partner gifting, promotional items, and other requests as needed.
- Travel occasionally to assist with events or other business activities.
Administrative Coordination
- Process invoices, maintain payment trackers, and follow up with vendors and internal teams on open items.
- Route confidentiality agreements and routine business documents to the appropriate stakeholders.
- Maintain accurate records, shared trackers, and instructions for recurring processes.
- Complete research and administrative assignments, and suggest practical improvements to everyday workflows.
Required Qualifications
- Strong hands-on experience managing office operations, facilities requests, supplies, and outside service providers.
- Experience providing administrative support to senior leaders, including calendar management and travel arrangements.
- Excellent organization and attention to detail, with the ability to balance competing requests and meet deadlines.
- Clear written and verbal communication skills and confidence interacting with employees, executives, vendors, and visitors.
- A professional, welcoming approach and a willingness to help colleagues resolve day-to-day needs.
- Sound judgment, adaptability, and the ability to work independently when priorities shift.
- Proficiency with Microsoft Office, Google Workspace, and Slack.
- Comfort coordinating across time zones and supporting several stakeholders.
- Based in the Los Angeles area and available for the stated onsite schedule and occasional travel.
Preferred Experience
- Experience supporting a creative, media, consumer-facing, or project-based business.
- Planning employee events, coordinating external events, or supporting team engagement activities.
- Coordinating domestic and international shipments.
- Working with building access policies, vendor insurance documentation, and visitor procedures.
Success in This Role
