About Distyl AI

Distyl is an applied AI technology company partnering with the world’s most ambitious institutions to rearchitect critical operations for the frontier of AI. Our customers include the largest companies in telecom, healthcare, insurance, manufacturing, consumer goods, and global social organizations.

We research and deploy technologies that power AI-native operations — both for our partners and for Distyl itself. Our work spans research into self-constructing systems, the development of the most reliable execution of AI systems, and products that transform mission-critical workflows. As a result, Distyl's technologies affect some of the world's largest operations — from hundreds of millions of consumer interactions to tens of millions of supply chain transactions and millions of patient journeys.

Distyl is backed by leading investors including Lightspeed Venture Partners, Khosla Ventures, Coatue, DST Global, and the board-members of 20+ F500s.

What We Are Looking For

We’re looking for a Temp to Hire Workplace Coordinator to keep our office running smoothly every day. This person owns the details that make Distyl a place people want to work: a clean, well-stocked space, conference rooms that are ready before a meeting starts, and guests who feel welcomed from the moment they arrive.

You’ll be the first to notice when something is off, and you’ll fix it or route it to the right team before anyone has to ask. You’ll work across facilities, vendors, food and beverage, and workplace experience. You’ll partner closely with our People, IT, and Operations teams to support employees, candidates, and executive visitors.

This is a hands-on, high-ownership role. Our team moves fast, so the office needs to be a dependable foundation that lets everyone focus on the work.

This role follows a 5 days per week (Monday-Friday) in‑office schedule in our New York office.

Key Responsibilities

Office & Pantry Management

  • Maintain a clean, organized, and fully stocked office, including coffee and beverage stations, snacks, and supplies
  • Operate and maintain coffee machines; monitor and manage inventory
  • Ensure guest lounge areas are properly equipped and presentable
  • Ensure lighting and charging stations remain functional

Conference Rooms & Common Areas

  • Reset and organize conference rooms as needed
  • Verify meeting technology is working; report IT/AV issues promptly
  • Keep common areas tidy and presentable
  • Monitor office supplies and equipment, flagging needs as they arise

Food & Beverage Program

  • Support execution of the F&B program, including coordinating meal deliveries and managing snack program logistics

Facilities & Operations

  • Conduct daily walkthroughs and track supply inventory
  • Support furniture setup and office moves
  • Flag maintenance issues to the appropriate team

Workplace Experience

  • Assist with employee onboarding/offboarding logistics (badges, workspace setup)
  • Support the visitor and candidate onsite experience (greeting, room setup, coordination)
  • Help coordinate executive or VIP visits as needed

Vendor Coordination

  • Manage scheduling and communication with vendors for catering, maintenance, supplies, and other office services
  • Ensure timely, professional execution of vendor-related tasks

General Support

  • Provide general administrative and operational support to ensure a smooth, high-quality day-to-day office experience

Who You Are

Required

  • 1–2 years of experience in office management, operations, or administrative support
  • Excellent interpersonal skills—you enjoy working with people and making them feel welcome
  • Relentlessly detail-oriented—proactively notice what others miss and take pride in getting the small things right
  • High agency and resourcefulness—if something's broken, you fix it; if something's missing, you solve for it
  • Clear, professional communicator who works well with employees, guests, and external vendors
  • Strong organizational skills and ability to juggle multiple priorities
  • Comfortable with light physical work, such as restocking supplies, setting up furniture, and resetting rooms
  • Warm, reliable, and discreet, especially when hosting candidates, executives, and VIP guests
  • Able to be onsite Monday-Friday in our New York office

Preferred

  • Experience in a fast-growing startup or tech company
  • Familiarity with F&B programs, catering coordination, or snack and pantry vendor management
  • Experience supporting employee onboarding and offboarding logistics, such as badges and workspace setup
  • Working knowledge of common workplace tools such as Slack, Google Workspace, and ticketing or visitor management systems
  • Basic familiarity with conference room AV and meeting technology
  • Background in hospitality, concierge, or front-of-house roles
  • Experience supporting executive or VIP visits

What We Offer

  • The base salary range for this role is $75,000-$85,000, depending on experience, location, and level.
  • 100% coverage of medical, dental, and vision insurance for employee and dependents
  • Flexible time off
  • Retirement and financial planning benefits, including access to pre-tax HSA, FSA, and commuter accounts, 401(k), and financial coaching resources
  • Comprehensive wellness benefits, including physical fitness, mental well-being, and fertility and family-building benefits through Carrot
  • Complimentary in-office lunches and snacks provided
  • Access to state-of-the-art AI models, generous usage of modern AI tools, and real-world business problems
  • Ownership of high-impact projects across top enterprises
  • A mission-driven, fast-moving culture that values curiosity, pragmatism, and excellence

We believe diverse perspectives make our work stronger and more impactful. We are an equal opportunity employer and evaluate all applicants without regard to race, color, religion, sex, sexual orientation, gender identity or expression, national origin, age, disability, veteran status, or any other legally protected characteristic.
