What this job involves: As a Workplace Experience Coordinator, you will be the welcoming face and dependable point of contact for everyone who walks through the doors of our client's site in Guatemala. You will manage the day-to-day administrative rhythm of the workplace, from purchase requests to vendor coordination, ensuring that every operational detail runs smoothly behind the scenes so employees and visitors experience a seamless, well-supported environment. At JLL, we are collectively shaping a brighter way — for our clients, ourselves and our fellow employees, and this role sits at the heart of that mission, blending hospitality, organization, and problem-solving to create a workplace people genuinely enjoy being part of. You will work closely with on-site vendors, external contractors, and internal stakeholders, acting as the primary liaison for users of the site while keeping administrative processes accurate, timely, and transparent.
What your day-to-day will look like:
- Process purchase requests and ensure timely procurement of goods and services needed to keep the site running efficiently
- Coordinate with vendors, both on-site teams and external contractors, to schedule services and resolve operational needs
- Generate Goods Receipts (GRs) and manage invoice processing alongside corresponding delivery notes or service reports
- Serve as the main point of contact for employees and visitors at the Guatemala site, addressing questions and requests with warmth and professionalism
- Prepare and distribute regular reports on site activity, vendor performance, and operational metrics
- Maintain accurate records of transactions, approvals, and service documentation to support audit readiness
- Identify opportunities to streamline administrative workflows and improve response times
- Support site events, moves, and ad hoc projects as needed, bringing flexibility to a varied workload
Required qualifications:
- Previous experience in administrative coordination, facilities support, customer service, or a related field
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
- Comfortable working with purchase orders, invoices, and basic procurement documentation
- Excellent interpersonal and communication skills, with a genuine interest in helping people
- Proficiency in Microsoft Office (Excel, Word, Outlook) or equivalent tools
- Ability to work independently while staying closely connected with vendors and internal teams
- Fluent in Spanish; working proficiency in English preferred for internal reporting
Preferred qualifications:
- Experience working in a corporate real estate, facilities management, or hospitality environment
- Familiarity with enterprise resource planning (ERP) systems for processing GRs and invoices
- A proactive, solutions-oriented mindset that embraces more innovative ways of working
- Prior exposure to vendor management or contractor coordination
- Comfort working in a role that values collaboration, as what sets JLL apart is our culture of collaboration, locally and across the globe
