Workshop Coordinator

Key Responsibilities

• Prepare and coordinate job estimates and quotations, ensuring accurate costing and timely submission to customers.
• Monitor Delivery Orders (DO), completed jobs and billing status to ensure timely invoicing.
• Handle customer enquiries, provide quotation updates and follow up on customer orders and completed services.
• Maintain job sheets, repair records and workshop documentation for proper tracking and review.
• Coordinate with Technicians, Inventory and Procurement teams to obtain job details and costing information.
• Monitor pending repair jobs and follow up with relevant departments to ensure smooth workflow and timely completion.
• Provide general administrative and coordination support to the Workshop team.

Requirements

• Diploma or Degree in Business Administration, Engineering, Automotive or a related field.
• Preferably 1–2 years of experience in workshop, service coordination, administration or a related role.
• Good coordination, communication and follow-up skills.
• Comfortable communicating with customers and coordinating with different departments.
• Good attention to detail, especially in quotations, documentation and billing records.
• Able to work independently and manage multiple tasks in a fast-paced environment.
• Proficient in Microsoft Office, especially Excel and Word.
• Experience in machinery, automotive, equipment or technical service environments will be an added advantage.
• Ability to communicate in Mandarin/Chinese is an added advantage.
