Workshop Service Advisor

About the role

Programmed are currently seeking an experienced Workshop Service Advisor to join a leading provider of municipal vehicles and specialist equipment at their Bassendean workshop.

As Workshop Service Advisor, you will be responsible for managing customer service enquiries, coordinating workshop jobs, monitoring job progress and ensuring completed work is accurately documented and invoiced.

You'll work closely with technicians, schedulers, supervisors and the parts team to ensure equipment is available, jobs are progressing and customers receive a high level of service. You'll act as the key link between customers, technicians, parts and the wider service team, ensuring jobs are well coordinated, customers are kept informed and workshop operations run efficiently.

Key responsibilities

• Act as the primary point of contact for customers regarding service and repair requirements.
• Manage service enquiries via phone, email and face-to-face.
• Understand customer concerns and accurately capture service requirements.
• Create and manage work orders, job cards and service quotes.
• Liaise with schedulers, technicians and supervisors to monitor job progress.
• Keep customers updated throughout the service and repair process.
• Identify additional repair requirements and obtain customer approval.
• Coordinate parts availability and ensure jobs are ready for technicians.
• Process and invoice completed workshop jobs accurately and promptly.
• Prepare service reports, quotes and supporting documentation.

About you

• Previous experience as a Service Advisor, Service Coordinator, Workshop Administrator or similar.
• Strong understanding of workshop operations and service workflows.
• Excellent customer service and communication skills.
• Ability to communicate confidently with both customers and tradespeople.
• Strong organisational skills and attention to detail.
• Ability to manage multiple jobs and priorities simultaneously.
• Confidence working in a fast-paced, hands-on environment.
• A flexible and adaptable approach to changing priorities.
• Strong computer and administrative skills.
• Full Australian working rights.

Requirements

• Previous relevant service, workshop or customer-facing administration/trade counter sales experience.
• Full Australian working rights.
• Ability to pass required pre-employment checks, including police, medical and drug & alcohol screening where required.
