What they need

Role Overview

We are looking for a personable, proactive and highly organised Workspace Lead to take ownership of the day-to-day customer experience and support the operation and management of our workspace portfolio across Solihull.

The Workspace Lead will be a key face of our Solihull portfolio and a main point of contact for our occupiers and their visitors. At the heart of the role is delivering an exceptional customer experience - building strong relationships with occupiers, understanding their needs and ensuring our buildings provide professional, welcoming and well-managed environments.

Alongside customer experience, the role will have a strong involvement in the day-to-day operation of our Solihull buildings. This will include coordinating contractors and suppliers, monitoring building standards, supporting health & safety and compliance requirements, and ensuring issues are identified, managed and followed through to resolution.

Previous property or facilities management experience is not essential. Full training and support will be provided, making this an excellent opportunity for someone with a strong customer service or hospitality background who is looking to develop their experience within property and building management.

The role will work across our Solihull portfolio, providing support at our locations as required. As travel between sites will form part of the role, a full UK driving licence is essential.

The role will work closely with the Flex Workspace Lead and wider Property Management team, with support and training provided across the building management elements of the position.

Customer Experience & Occupier Relationships

· Act as a key day-to-day point of contact for occupiers across our Solihull portfolio.

· Build strong, professional relationships with customers across our Solihull buildings.

· Deliver a welcoming, responsive and hospitality-led experience for occupiers and visitors.

· Regularly engage with occupiers to understand their needs and identify opportunities to improve their experience.

· Take ownership of customer queries and ensure issues are followed through to resolution.

· Support the onboarding of new occupiers and help ensure a smooth move-in experience.

· Develop initiatives and events that encourage engagement and create a positive community across our workspaces.

· Ensure shared amenities and customer-facing spaces deliver an excellent experience for occupiers.

· Gather feedback and work with the wider team to continuously improve the customer experience.

Building Operations & Management

· Support the day-to-day operation and management of our Solihull buildings.

· Carry out regular building walks across the portfolio to monitor presentation, cleanliness and general building standards.

· Identify maintenance or operational issues and ensure these are reported, tracked and followed through.

· Coordinate contractors and suppliers attending our Solihull buildings.

· Liaise with cleaning, maintenance and other service providers to ensure agreed standards are maintained.

· Support routine health & safety, compliance and building management requirements, with training provided.

· Assist with planned maintenance, works and improvement projects where required.

· Maintain appropriate building and contractor records.

· Work closely with the Property Management team on larger or more technical building matters.

· Ensure works and contractor activity are managed with minimal disruption to occupiers.

· Take pride in the overall presentation and operation of our buildings and proactively identify areas for improvement.

Workspace & Amenity Management

· Take day-to-day ownership of the presentation and operation of customer-facing spaces.

· Ensure business lounges, gyms, meeting areas and other communal spaces, where provided, are maintained to a consistently high standard.

· Monitor use of shared amenities and respond to occupier feedback.

· Support the delivery of events and engagement activities across our Solihull workspaces.

· Ensure meeting spaces and communal areas are ready for occupier and visitor use throughout the day.

· Help develop the workspace offer across Solihull as the needs of our occupiers evolve.

Occupier & Leasing Support

While this is not a sales-led role, the Workspace Lead will support the wider team with occupier and leasing activity where appropriate.

· Welcome prospective occupiers and support building tours and viewings when required.

· Ensure vacant suites and customer-facing areas across the portfolio are presented and ready for viewings.

· Support new occupier move-ins and departures from an operational perspective.

· Provide on-the-ground knowledge and feedback to the Flex Workspace Lead and wider team.

· Work collaboratively with agents, contractors and other visitors attending our Solihull buildings.

Solihull Portfolio Coverage

· Work flexibly across our Solihull locations in line with day-to-day operational requirements.

· Support customer experience and day-to-day building operations across the Solihull portfolio.

· Provide additional cover across sites during busy periods, events, holidays or where operational requirements dictate.

· Help maintain a consistent customer experience and high building standards across the Solihull portfolio.

· Work collaboratively with colleagues across our Solihull locations and share best practice.

Administration & Reporting

· Maintain accurate building, occupier, contractor and operational records.

· Provide regular updates on customer feedback, building issues and ongoing actions.

· Raise and track maintenance and contractor requests.

· Support purchase orders, invoices and other building administration where required.

· Maintain relevant health & safety and compliance documentation, with appropriate training and support.

· Ensure building information and occupier communications are kept up to date.
